We are currently recruiting for a Legal Support Training Specialist for our Legal Secretarial Support Department. The Training Specialist will develop and deliver learning programs, step-by-step instructions, demonstrations, and simulations to support Toronto Legal Assistant learning. This role works in conjunction with the Legal Secretarial Services Managers, the Learning and Development team, and functional subject matter experts in other administrative areas within the Firm, such as Conflicts, Finance, Hospitality and Client Development. Legal Assistant experience is required.


Major Responsibilities and Duties




Create and deliver engaging and effective learning content for the life cycle of the Legal Assistant role, which includes onboarding, refresher training and responding to new and changing learning requirements Develop tools to identify training needs and evaluate effectiveness of learning programs Develop continuous learning plans for Legal Assistants in the Toronto office Apply principles of adult learning to design programs that cater to diverse learning needs Evaluate and update all relevant learning materials and resources for a comprehensive Legal Assistant curriculum Maintain up-to-date knowledge of processes and procedures impacting the Legal Assistant role; identify changes, assess impact and incorporate into related learning requirements Together with LSS Managers, identify gaps in knowledge and leverage subject matter experts to create course material Work with internal teams to understand business goals and translate them into learning programs Own and manage learning content to ensure it remains relevant and up to date. Promote best practices in work processes Promote firm culture and act as firm "ambassador" as one of the first contacts for new Legal Assistants Work with LSS Managers and Learning & Development team to prepare new hire orientation schedules, which involves coordinating with other administrative stakeholders Liaise with the Learning & Development team to ensure the smooth transition of new hires through the various stages of onboarding Evaluate the effectiveness of overall learning for new hires at specific intervals, e.g., one month, three months, six months and yearly for all Toronto office Legal Assistants to re-assesses training needs, arrange for additional training; adjust or update training programs as required Identify opportunities for Legal Assistants to effectively and proactively leverage OslerACADEMY for ongoing learning and development Act as a "go-to resource" for all Legal Assistants; providing "just in time" support and mentorship to ensure they have the necessary skills and knowledge to support all needs and expectations of Legal Professionals Participate in system rollouts and other projects that impact the Legal Assistant role

Position Requirements




Education and Experience



The position requires a minimum of seven years' experience in developing and delivering learning programs for Legal Assistants and working as a Legal Assistant in a professional services or legal environment. Completion of a Community College diploma in Learning and Development is an asset. An equivalent combination of education, training and experience may be considered.


Knowledge and Skills




Excellent communication (verbal and written) and interpersonal skills Superior time management and organizational skills Strong client service orientation Enthusiastic and able to engage learners to maintain high levels of interest in training initiatives Observational skills to ensure training is effective and trainees are grasping concepts being taught Knowledge of computer application software (MS Office) and other administrative programs and tools Knowledge of Legal Assistant practices, procedures and environment Able to identify and adapt to learner's needs Knowledge of adult learning principles

We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
