O.B Law Office is a client-focused general practice law firm based in Calgary, Alberta. We are currently seeking a highly organized and motivated

Legal Assistant / Receptionist

to support our legal team and manage front-desk operations.

This full-time role is ideal for someone who enjoys working in a fast-paced environment, is detail-oriented, and can effectively balance administrative and client service responsibilities.

Key Responsibilities



Open and maintain client files, including conducting conflict searches, organizing materials, and managing filing systems Manage lawyer schedules, deadlines, resources, and workflow Handle client account administration: review/edit e-prebills, prepare invoices, verify fees/disbursements, and address billing inquiries Prepare cheque requisitions, and process payments as required; maintain accurate accounting and billing records Draft, revise, and proofread documents such as affidavits, agreements, correspondence, memoranda, and practice-specific materials File documents in court, organize materials, and meet strict filing deadlines Prepare, submit, and monitor filings via the Justice Digital portal and E-filing systems Assist with execution of affidavits, preparation of memoranda, and file organization processes Ensure proper handling of confidential documents and information Provide general clerical support, including answering calls, photocopying, binding, and maintaining client files Perform legal research as required Other administrative and support duties as assigned

Qualifications



Minimum of 2 years of experience working as a Legal Assistant or in a similar administrative role within a law firm Completion of a post-secondary program in legal administration (or equivalent) Knowledge of Real Estate, Civil Litigation, Family Law, and Wills & Estate considered an asset Proficiency in MS Office Suite (Word, Outlook, Excel, PowerPoint) Experience with legal practice management software such as Clio is an asset Excellent organizational, multi-tasking, and prioritization skills Strong written and verbal communication skills High level of discretion, confidentiality, and professional integrity Ability to work independently and collaboratively as part of a team Demonstrated commitment to excellent client service and proactive problem-solving
