experienced, detail-oriented, and proactive Legal Assistant & Office Manager
to join our growing law firm. In this role, you'll be the backbone of our operations -- supporting our lawyers and clerks with both administrative and legal tasks, managing the day-to-day running of the office, and ensuring everything runs smoothly from intake to closing.

What You'll Do
Administrative Support
Handle client intake, prepare retainer agreements, complete ID verification, and perform conflict checks.
Manage daily communications including phone calls, emails, and correspondence.
Schedule and coordinate meetings, deadlines, and key dates for lawyers.
Manage the ongoing flow of the firm's files. Ensuring all documents are properly named, executed, and recorded as required.
Maintain file checklists and keep lawyers updated on file progress.
Coordinate with lawyers and accounting to track all payables and receivables in
Clio
(our practice management system) and assist with invoicing, payment processing, and maintaining accurate financial records.
Track Continuing Professional Development (CPD) hours and register lawyers for relevant courses as requested.
Assist in ensuring compliance with firm policies, LSO rules, and confidentiality requirements.
Office Management
Handle incoming and outgoing mail and courier packages.
Keep the office running smoothly -- managing office, kitchen and miscellaneous supplies.
Legal Assistance
Assist with drafting and formatting legal documents.
Prepare and organize closing documents, communicate with clients and lenders, and assist with execution packages.
Maintain and update corporate minute books and related records.
Keep client files accurate, organized, and up to date.
What We're Looking For
2-3 years of experience
in a
corporate/commercial/real estate law firm
(required).
Strong administrative or office management experience in a legal environment.
Proficiency with
Microsoft Office
(Word, Excel, Outlook);
Clio
experience is a plus.
Excellent communication skills -- both written and verbal.
Strong organizational skills and attention to detail.
Ability to manage multiple priorities and meet deadlines.
A proactive attitude, willingness to learn, and a team-first mindset.
