LEGAL ASSISTANT - Wills and Estates (FULL TIME, PERMANENT) About the Job: This is an exciting opportunity to play a key role in all aspects of our busy Wills and Estates group. Responsibilities will include:
  • Manage all incoming cold calls for the group, including preparation of client intake forms, communication to lawyers, follow-up.
  • Conduct conflict searches, preparing precedent letters to clients re retainers, and managing file openings.
  • Contact clients to schedule appointments for initial meetings (in person, phone or virtual), including intake forms (if applicable) and preparation of retainer agreements. Prepare receipts for clients.
  • Schedule appointments for estate administration signings.
  • Prepare for client meetings, including preparing copies of client\xe2\x80\x99s current documents, preparing Boardrooms for meetings and virtual signings.
  • Assist with administrative tasks, including: Scanning and digital filing of client information.
  • Assisting with preparation of document briefs.
  • Meet with clients to witness will signings when required, preparing Affidavits of Executive.
  • Follow up on outstanding Accounts Receivable, as requested.
  • Preparing memos to Real Estate group.
  • Act as backup for Estate Administration Law Clerks when they are not in the office.
  • Distribute incoming mail and deliveries.
  • Assistance with process improvements and efficiencies.
  • Research and other projects as assigned.
JOB REQUIREMENTS:
  • Legal Assistant or Law Clerk Diploma (or equivalent).
  • A minimum of 2 years\xe2\x80\x99 experience in a corporate/commercial business law practice.
  • Strong focus on providing exceptional customer service and lawyer service and taking pride and confidence in your work product and role.
  • Excellent interpersonal skills with the ability to work independently as well as part of a team.
  • Highly developed communication skills, verbal and written.
  • Strong time management skills and keen attention to detail.
  • Demonstrated willingness to take initiative and be proactive in finding solutions.
