Job Description

:
We are looking for a dedicated Legal Assistant with a strong background in Insurance Defence to join our client in Toronto, Ontario. This is a long-term contract position that offers a hybrid work model, requiring in-office presence at least two days a week. The ideal candidate will bring a minimum of three years of experience in legal administration, possess excellent organizational skills, and demonstrate a solid understanding of the Rules of Civil Procedure. This role will be supporting a lawyer, and an associate.
Responsibilities:

  • Track and manage deadlines, ensuring timely preparation and submission of legal responses.
  • Draft, review, and proofread correspondence, legal documents, and forms, including communication with clients and opposing counsel.
  • Coordinate and schedule legal proceedings, such as discoveries, motions, mediations, and settlement conferences.
  • Prepare and organize briefs, records, and other legal materials for court filings and client meetings.
  • Create and finalize releases, consents, orders, and settlement disclosure notices.
  • Maintain accurate and organized physical and electronic filing systems.
  • Operate office equipment to fax, scan, photocopy, and bind legal documents as needed.
  • Manage digital dictation and transcription tasks efficiently.
  • Provide administrative support by adhering to client protocols and firm procedures, and updating the lawyer's calendar.
  • Perform additional legal and administrative duties as assigned to support the team.
Requirements:
  • At least three years of experience as a legal assistant, preferably with expertise in Insurance Defence Tort.
  • Post-secondary education in legal administration or a related field.
  • Comprehensive knowledge of the Rules of Civil Procedure.
  • Proficiency in legal and office software, including Microsoft Office, ProLaw, and case management systems.
  • Strong communication skills, with excellent grammar, spelling, and proofreading abilities.
  • Exceptional organizational and multitasking capabilities in a fast-paced environment.
  • Ability to exercise discretion and sound judgment when handling confidential matters.
  • A detail-oriented, team-oriented attitude with a commitment to providing excellent client service.
