The College of Physicians and Surgeons of Saskatchewan (CPSS) is looking for a Legal Assistant to join our team.
The Opportunity
Reporting to the Director, Legal Affairs and Senior Legal Counsel, the Legal Assistant provides administrative and operational support to assigned lawyers and collaborates closely with the other legal assistant to ensure the efficient functioning of the legal team. This role involves a broad range of responsibilities including managing files, preparing correspondence and documents, supporting hearings and committee activities, and liaising with internal and external stakeholders.
Key Responsibilities
- Provide administrative support to assigned lawyers including:
generating, formatting, proofreading and distributing a variety of correspondence with a high degree of accuracy and efficiency;
managing lawyers' calendars, bookings and task reminders;
maintaining and organizing filing system for documents, records and reports within the department;
coordinating meetings and collating content from the team to prepare draft documents;
managing the work standards and other resources used by the legal team.
- Open and close discipline files, entering relevant information on the appropriate spreadsheet.
- Maintain precedent documents and correspondence used by the legal team.
- Ensure regular and ongoing communication with complainants.
- Facilitate preliminary inquiry committee (PIC) activities including arranging interviews, obtaining records relating to investigations, and transcribing recordings of interviews, if required.
- Make arrangements for discipline hearings and provide logistical support for those hearings including arranging payments for committees and hearing personnel.
- Assist in obtaining search orders and subpoenas for PICs and discipline hearings.
- Compile disclosure documents for cases of unprofessional conduct.
- Prepare books of documents for discipline hearings and court documents for appeals or judicial review applications.
What you have
Education/Experience
A minimum of one-year Vocational/Technical/Business School diploma from a recognized institution.
3 years of relevant work experience as a legal assistant.
An equivalent combination of education and experience may also be considered
Knowledge/Skills
Proven ability to deal with confidential and sensitive information in a professional manner while complying with The Health Information Protection Act(HIPA).
Understand and respect the confidential nature of the position.
Excellent organizational skills and demonstrated ability to take initiative and to multi-task with minimal direction/supervision.
Ability to enter data with a high degree of accuracy and efficiency.
Thorough knowledge of standard office procedures and equipment.
Proficiency with Microsoft Office tools (Word, Excel, PowerPoint, Outlook) and file management systems.
Highly effective interpersonal skills, with the ability to interact professionally with senior leaders, Council and committee members, co-workers, and the public.
Skilled in preparing correspondence, reports, and specialized confidential documentation.
Excellent proofreading and editing skills.
Demonstrated ability to deal courteously, tactfully and respectfully with internal and external stakeholders in person, on the telephone and via electronic communication.
Strong capability to foster positive collaboration and support a cohesive, team-focused work environment.
