About the role



We're looking for a detail-obsessed Legal Assistant (Production Clerk) to keep files moving--from drafting and formatting documents to assembling briefs, managing e-filings, and coordinating records. You'll work closely with counsel and clerks to ensure deadlines are hit, documents are pristine, and clients are kept in the loop.

What you'll do

Prepare, format, and QC outgoing legal documents (letters, pleadings, affidavits, motion records, briefs) from templates and dictation. Manage document "production" workflow: naming conventions, version control, pagination, Bates-stamping, TOCs/tabs, and bundle assembly. E-file and serve documents (Ontario e-filing portals; arrange process service and couriers). Build and update closing/materials binders and electronic brief books (PDF hyperlinked). Request, track, and summarize third-party records (medical/employment/insurer), maintain production logs. Calendar key dates/limitations; prep reminder ticklers for counsel. Maintain neat, searchable digital files (Drive) and follow DMS/retention policies. Client-facing admin: intake follow-ups, obtain signatures, send status updates. Coordinate with experts, court staff, and opposing counsel on scheduling and materials. General admin: scanning, OCR, mailouts, postage logs, supply tracking. Order and index AB/TPD benefits records; track undertakings; organize medical briefs and chronologies.
Must-have qualifications

1-3+ years in a law office (legal admin/assistant/clerk)

or

completion of a Legal Assistant/Law Clerk program. Excellent document production skills (Word advanced formatting, styles, TOC/TOA; Adobe Acrobat for combine/OCR/bookmarks). Strong grasp of Ontario civil procedure basics (forms, filing/serving, deadlines). Impeccable attention to detail; fast, accurate typing and proofing. Professional communication with clients, counsel, courts, and vendors. Ability to juggle competing deadlines and follow checklists precisely. Eligibility to work in Canada; reliable attendance.
Nice to have

Experience with: Ontario e-filing portals, CaseLines, Clio/PC Law/Actionstep, Google Workspace, Slack, Asana. Personal Injury or litigation background (records, undertakings, productions). PDF hyperlinking/brief-book creation; Excel logs. Bilingual (English/French or other). Notary/commissioner of oaths (or willingness to obtain).
