Job Description

Reporting jointly to the legal professionals in the share and the Manager, Legal Assistant Services in our Toronto office, the successful candidate will independently manage the daily activities of up to 4 lawyers in their litigation practices.



Hours of work are from 9:00 a.m. to 5:00 p.m. ET. Occasional pre-authorized overtime may be required to meet client needs. This is a hybrid role requiring three (3) days in office.

Primary Responsibilities




Prepare and file legal documents, schedule meetings and court dates, and keep track of deadlines. Manage emails, calendars, travel plans, and reminders using a bring-forward system. Draft and revise letters and legal documents based on instructions or templates. Assist with finalizing legal briefs, including formatting, hyperlinking, bookmarking, and ensuring compliance with court requirements. Stay up to date with relevant court rules, procedures, and practice directions. Help with billing by reviewing time entries and working with billing staff to prepare invoices. Keep both paper and digital files organized and up to date. Work with other departments to delegate tasks and ensure smooth operations. Provide coverage for other assistants when needed. Take on other duties as assigned.

Required Knowledge and Experience




Completion of a post-secondary Legal Assistant or Law Clerk program A minimum of 5 years' experience in civil and commercial litigation (large firm experience preferred) In-depth understanding of business and legal terminology Advanced understanding of the Rules of Civil Procedure Solid computer and typing skills; proficiency in MS Office 365, Excel, PowerPoint, Adobe Pro, digital dictation, etc. Experience working with Elite 3E, Worksite DMS, ACL, Case Center, JSO portal, iManage Work, etc.
