PURPOSE OF THE POSITION:

In the position of Legal Assistant Records, you will become a team member on a dynamic and talented corporate secretarial team that supports the legal department as well as other business units including real estate, engineering and sales.

The successful candidate will be responsible for records management including compiling historical documentation including: research to enable various business groups to maintain a record of new agreements and access historical agreements, lead, train and support for users of electronic data rooms. The selected individual will also provide administrative support to the Corporate Secretary team including: managing departmental invoicing and related reporting, as well as provide general administrative support to the department. This is a challenging and fast-paced role; the ability to get along in a team environment and great organizational skills and attention to detail are all critical aspects of this role.

POSITION ACCOUNTABILITIES:

  • Review, update, implement and maintain corporate records management system and electronic data for corporate records
  • Process, track and retrieve corporate records
  • Obtain and prepare corporate records for off-site storage
  • Respond to records requests and manage corporate record flow to and from all appropriate business units
  • Establish and adhere to document control policies and procedures
  • Assist in the creation and maintenance of the annual Code of Business Ethics and including the training module
  • Maintain knowledge and awareness of current industry trends as well as current methods and technologies related to records management
  • Maintain the Corporate Secretary records and track and file all the legal hold/hard drive preservations
  • Populate and maintain an electronic data room for use in due diligence during significant corporate transactions including acquisitions and financings
  • Provide training and support to internal users of electronic data room
  • Assist with maintaining corporate records database (ALF) in collaboration with the Office of the Corporate Secretary team
Administrative Support
  • Provides general administrative support to the Office of the Corporate Secretary
  • Manage invoicing, budgeting, expense claims, reconciliation, reporting, administration and board of directors support
  • Maintain, track and file all board related materials
  • Oversee and maintain records/department facilities
  • Uses Microsoft 365 applications to create and maintain documents, spreadsheets and slides (Word, Excel, PowerPoint, Project, Teams, SharePoint)
  • Other duties as assigned
POSITION REQUIREMENTS:
  • Post secondary education in records management, business administration, legal studies or related field
  • Minimum of five years of relevant experience in computerized and manual document control management
  • Knowledge of records retention procedures
  • Demonstrated information management and organizational skills
  • Ability to maintain high level of discretion
  • Ability to adapt to a fast paced, ever-changing workload and demands
  • Problem solving abilities and critical thinking skills with strong attention to detail
  • Ability to work independently as well as interact effectively in a team environment
  • Experience with applications such as SharePoint, SAP, passport and specialized document management programs and databases

Management Conductor Program:
