SimpsonWigle LAW LLP is currently seeking to hire an experienced Legal Assistant in Real Estate and Business Law who will support a commercial lawyer and team with real estate and commercial transactional work as well as practice administration. The ideal candidate would have some corporate background and be able to assist with annual resolutions and minute book maintenance, time permitting.
With respect to Real Estate matters, the successful candidate will be responsible for, but not limited to:
Completing all steps on residential and commercial real estate files with minimal supervision
Communicating directly with clients, lenders, real estate agents and lawyers to ensure timely processing of transactions
Keeping the responsible lawyer informed and up to date and obtaining instructions as appropriate
Review agreements of purchase and sale and conduct appropriate searches, including off titles
Ordering title insurance polices, and other third-party information required for closing
Obtaining and uploading lender documents through various platforms
Preparing reporting letters and accounts to clients, promptly following completion of files
Supporting productivity of the practice through comprehensive legal administrative support including billing, scheduling appointments and diarizing deadlines
Maintaining impeccable file organization and management
Proficient with the use of conveyancing software and Teraview
Serve as the primary point of contact for clients as appropriate, providing updates and responding promptly to inquiries
Other duties and tasks as assigned
Required experience/qualifications:
Completion of a post secondary Legal Assistant or equivalent program
8+ years of Real Estate experience (Commercial & Residential) for well established professional legal office(s)
A solid knowledge of legal office practice, legal terminology and procedure relating to legal correspondence and legal documents
Attention to detail with a high level of accuracy
Exhibit excellent commitment to client service and the maintenance of client confidentiality
Excellent communication, interpersonal and time management skills, able to prioritize and manage deadlines
Excellent organizational skills, resourceful and capable of working independently, as well with a number of individuals in a fast-paced environment
Ability to exercise good judgment
Good knowhow of various real estate law software and platforms
Experience with GhostPractice (accounting software) and iManage would be an asset
