POSITION PURPOSE This position is responsible for providing general clerical support to the Legal Services Branch including responding to inquiries, maintaining records and files, preparing routine correspondence, mail and other support duties, tracking expenditures and data, as assigned.

MAJOR RESPONSIBILITIES
  • Provides general clerical support to Branch staff, as required.
  • Performs standard office procedures including ordering and tracking of office supplies, photocopying, faxing, courier pickup and delivery, incoming/outgoing mail sorting and distribution to staff.
  • Prepares routine correspondence, reports, forms, and other materials, as assigned.
  • Logs daily statistics and prepares reports on service delivery.
  • Receives confidential communications, responds and refers to appropriate staff to ensure urgent matters are dealt with quickly.
  • Updates publication lists and files updated materials in Branch library.
  • Receives, processes and forwards IT and other service requests to appropriate Branch
  • Provides telephone reception services and responds to inquiries and/or refers matter to appropriate staff, as required.
  • Maintains both manual and electronic filing and information management systems for correspondence, reports, directives and legislation, in accordance with Regional standards.


QUALIFICATIONS
  • Successful completion of a Secondary School Graduation Diploma or approved equivalent combination of education and experience.
  • Minimum one (1) year clerical experience in an office environment, including reception experience.
  • Knowledge of general office procedures, preparing documents and records management practices.
  • Proficiency in virtual platforms and MS Office Suite including the use of virtual platforms for conducting meetings and/or presentations.
  • Demonstrated ability in the Region\xe2\x80\x99s core competencies.
  • Ability to maintain confidentiality and to use tact and discretion when dealing with matters of a highly sensitive nature.
  • Demonstrated customer service skills to provide assistance to a broad range of client inquiries and service.
  • Strong ability to develop relationships and work in a welcoming and inclusive environment, where diversity is celebrated and where everyone can develop to their full potential.
