We are looking for an organized and highly motivated Legal Administrative Assistant to join the OMERS Enterprise Legal team!



The Legal Administrative Assistant will provide assistance and support, including document and presentation preparation management and a variety of administrative tasks (scheduling, booking travel, completing expense reports, etc.) for the team.



The Legal Administrative Assistant will be required to exercise co-ordination, judgment and initiative in order to effectively support multiple members of the Enterprise Legal Team.

As a member of this team, you will be responsible for:



Providing document preparation support, including advanced word processing, sophisticated PowerPoint presentations and Excel spreadsheets. Effectively editing, revising, formatting, comparing and proofreading documents.



Establishing agendas for meetings, overseeing distribution of agenda packages, and making all necessary meeting room bookings and catering arrangements required for such meetings.



Assisting in coordinating meetings, travel arrangements, calendar management and other administrative needs, including filing.



Preparing and submitting expense forms as required.



Researching information and assisting with special projects as requested by the team, including social events.



Must be able to work independently and perform duties with minimal direction.



To succeed in this role, you have:



A minimum of 3 years of experience working in an administrative role.



Demonstrated ability to meet deadlines and to work with minimal direction.



Proficiency in MS Word, PowerPoint, SharePoint, Workshare Compare, Legal Tracker and Excel.



Ability to coordinate multiple tasks with a high level of initiative.



Ability to work under pressure to meet deadlines.



Strong interpersonal skills and the ability to exercise good judgment, tact and discretion.



Proven ability to work as a teammate, in a professional and pleasant manner.



Demonstrated organizational skills and attention to detail.



Familiarity with iManage or a similar document management system is an asset.
