Hybrid role 3 days in office - Toronto office





Reporting to

Office Managing Partner and working collaboratively with local partners and the People and Development team, this role is responsible for overseeing the legal assistant, administrative and operational support functions within the practice group(s) in the Toronto office.


This role ensures that support staff within each practice group support the legal professionals as well as the Firm's billing, finance and business development functions, efficiently, collaboratively, and in alignment with the firm's strategic goals.


This role is responsible for supervising legal assistants and other support roles, ensuring the right tools, technology and training are available to ensure high performance and exceptional client service.


You will be focusing on:



Manage and supervise legal assistants and other practice support staff (e.g. document specialists etc.), including recruitment, training, workflow coordination, and performance management. Accountable to lead the legal assistants in supporting the Firm's billing processes and drive improvements and efficiency in billing and financial processes generally. Collaborate with lawyers, law clerks, and other professionals to ensure effective use of support resources. Develop and implement procedures and best practices to improve workflow, document management, and client service delivery. Monitor workload allocation and productivity, ensuring adequate coverage and balanced work distribution across practice areas. Provide support in billing coordination, liaise with Billing department to address any billing inquiries and issues, ensuring timely and accurate resolution*
Serve as a liaison between support staff and firm leadership, addressing operational issues and escalating when appropriate. Support the onboarding and integration of new legal professionals and staff within practice groups. Assist with budget preparation and cost control related to practice support services. Coordinate with Finance, IT, P&D, and Office services to ensure support staff have the tools and resources needed to perform their roles effectively. Oversee compliance with firm policies, confidentiality standards, and legal practice requirements.

What you bring to the role:



Bachelor's degree in Business Administration, Legal Studies, or a related field--or equivalent experience in a law firm environment Minimum of 5 years of supervisory or managerial experience within a legal or professional services setting. Strong understanding of law firm operations, including billing, case/matter workflow, timekeeping, and document management. Strong organizational, attention to detail, and time management skills to effectively prioritize and meet deadlines in a high-pressure environment. Strong interpersonal skills with a proven ability to establish and build trust-based working relationships. Excellent communication skills and the ability to interact effectively with individuals at all levels within the organization with tact and diplomacy. Proficient in Microsoft Office Suite and legal practice management software (e.g., iManage, or similar), excel, SAP.
