Lease Administrator

Job Description

Our client, a well-established commercial real estate company is seeking a detail-oriented and proactive Lease Administrator to support its leasing, development, and legal teams. This role is responsible for drafting, reviewing, and managing a variety of commercial lease-related documents while ensuring accuracy, consistency, and compliance with internal standards. The successful candidate will serve as a key liaison across departments and external stakeholders to facilitate efficient lease administration and support business operations.
Key Responsibilities:
- Draft lease agreements based on internal requests, offers to lease, or letters of intent.
- Collaborate with leasing and legal teams to negotiate lease terms and amendments with tenants or their legal counsel.
- Prepare ancillary lease documentation including amendments, enforcement letters, and notices of default or termination.
- Maintain and update standard lease templates and clause libraries.
- Track critical lease dates and coordinate timely preparation of non-disturbance agreements and estoppel certificates.
- Draft and negotiate non-disturbance agreements between tenants and mortgagees.
- Coordinate the collection of information and execution of estoppel certificates for financing or sale transactions.
- Review tenant-submitted notices of lease for accuracy prior to execution.
- Liaise with internal teams such as Leasing, Development, Finance, Accounting, and Construction.
- Ensure lease data is accurately maintained in internal systems.
- Respond to inquiries from internal teams and external parties regarding lease terms and documentation.
- Support corporate projects by reviewing leases and compiling relevant information.
- Attend departmental meetings and provide regular updates on workload and priorities.
- Support legal counsel and other internal stakeholders with ad hoc document requests.
Qualifications & Experience:
- Diploma or certificate in Paralegal Studies, Legal Administration, or a related discipline preferred.
- 3-5 years of experience in commercial lease administration, document preparation, or legal real estate support.
- Proven ability to draft and edit leases, amendments, and related documentation.
- Strong working knowledge of lease language and real estate transaction processes.
- Excellent verbal and written communication and negotiation skills.
- Proficiency in Microsoft Word and Excel; experience with lease management systems is an asset.
- Strong organizational and time-management skills; able to manage multiple priorities efficiently.
