ACCOUNTABILITY & JOB DUTIES SUMMARY



This is a

full-time permanent

position reporting to the Associate Director of Preventative Maintenance.

Job duties:

Creates checklists, protocols and procedures for routine maintenance tasks and supports preventative maintenance initiatives. The role coaches and educates Property Managers and their maintenance teams to keep their buildings safe, healthy, and well-maintained. Regular inspections and repairs contribute to the long-term sustainability of St. Clare's buildings, grounds, and equipment.

KEY RESPONSIBILITIES



Routine maintenance inspections and checklists



Develop inspection sheets for Property Managers and their maintenance and cleaning staff to follow for daily, weekly, and monthly inspections. Include procedures for fire safety, customizing the inspection sheets as necessary for each building.

Create reporting template for Property Managers and their maintenance staff to log their inspection activities and findings. Review the inspection reports and ensure that inspections and certifications are complete and up to date.

In addition to informal conversations and meetings with Property Managers, hold a formal monthly inspection walkabout /meeting with each Property Manager (and their maintenance staff as advisable). Use the inspection walkabout as an opportunity to coach, advise, and educate. Discuss their repair and replacement priorities and provide guidance on action plans for completing the work.

Conduct Maintenance Activities (Assessments and Repairs)



Schedule and conduct maintenance activities as directed by the Associate Director of Preventative Maintenance.

Collaborate closely with Property Managers to plan and schedule activities, minimizing disruptions to operations.

Keep Property Managers and their maintenance teams informed and involved to help build their maintenance-related skills and abilities.

Tracking and monitoring



Track the inspection logs for each property, as well as across all properties, to ensure that inspections and certifications are complete and current.

Monitor results for issues and patterns to create early warning advisories for anticipated repairs or replacements. Identify items that require immediate attention or longer-term planning.

Share reports with Property Managers to address gaps in their daily maintenance activities, recommend actions to preserve assets, and define priorities for repairs or replacements.

Report results to the Associate Director of Preventative Maintenance to ensure that both long-term and short-term maintenance, repair, and replacement plans are relevant and up to date.

Maintain relevant maintenance information for each site. Update files on the shared drive and maintain organization, ensuring important documents like floor plans and certifications are saved.

Support the development and upkeep of a critical asset inventory list for each site.

Contractor Management



Support the development of a preferred contractor list (with the Associate Director of Preventative Maintenance), working with contractors to set service standards and establish preferred rates for efficient and cost-effective repairs.

Maintain the contractor list including account numbers and other relevant information.

Seek feedback from Property Managers regarding the reliability and quality of contractors to keep the preferred contractor list up to date and relevant.

Advise Property Managers on when it is beneficial to hire contractors instead of assigning work to internal resources, considering cost-effectiveness, quality, and internal capacity.

Support the review and approval of contractor bids.

Budgeting and Assignment of Skilled Technicians



On behalf of Property Managers, seek budgetary approvals to manage repairs and replacements that require skilled contractors.

Initiate work orders and collaborate with Property Managers to monitor the work and confirm completion.

Assist the Senior Property Manager and Associate Director of Preventative Maintenance in reviewing quotes and making decisions for projects.

Training and Development



Work closely with Property Managers and their maintenance teams - including maintenance personnel, cleaners, and after-hours staff - to enhance their skills and knowledge:

Provide guidance on using daily, weekly, and monthly checklists for inspections and maintaining inspection logs.

Offer training for routine maintenance tasks.

Review and educate maintenance staff on on-call procedures.

Conduct periodic meetings and forums among the broader maintenance team to review procedures, address common questions and issues, gather input, and plan for new tasks and procedures.

Support for Property Management Staffing and Projects



Assist in the hiring process for maintenance personnel and cleaners.

Help oversee smaller projects at buildings, such as comprehensive cleaning of entire building stacks.

Periodically, provide back-up coverage for sites that are short on maintenance or on-call staff when no other options are available.

QUALIFICATIONS & SKILLS



Preferred education and certifications:

A college diploma in disciplines such as building environmental systems, electrical or mechanical engineering, or a related field.

Certification in Building Environmental Systems (BES) Operator, Ontario Building Code Certification (BOC), or a related certification.

Preferred experience:

Several years of experience in building maintenance and repair, coordinating maintenance activities, and managing contractors.

Working Environment:



Work Setting:

This role involves a mix of office-based tasks and hands-on work within the building, often requiring the ability to move between multiple properties or floors.

Physical Requirements:

The position may involve physical labor, including lifting, walking, climbing stairs, and handling equipment. The work environment may sometimes include exposure to noise, dust, and varying temperatures depending on the maintenance activities being performed.

Collaboration :

You will work closely with diverse teams, including property management, maintenance staff, and external contractors, ensuring effective communication and collaboration.

You must be able to prioritize tasks and respond to building

Required skills:



Proficient in the maintenance and repair of HVAC, plumbing, electrical, and structural building systems.

Skilled in developing and implementing routine maintenance checklists and programs.

Capable of creating maintenance reports that detail inspection metrics for compliance and completeness, while also identifying activities for both short-term and long-term action.

Knowledgeable about safety regulations and building codes to ensure healthy and safe environments and practices.

Strong organizational skills with the ability to plan, schedule, and oversee maintenance activities effectively.

Excellent interpersonal and communication skills for interacting with Property Managers, maintenance colleagues, contractors, and stakeholders.

Ability to design and deliver training programs for maintenance teams in Property Management, as well as coach and advise colleagues.

Adept at diagnosing issues and recommending or implementing effective solutions.

A valid Ontario Class "G" driver's license for travelling between properties.
