We are seeking a highly organized and detail-oriented Office Administrator to join and LEAD our team for both of our clinics in the Upper Beaches and North York location. The ideal candidate will be responsible for managing the front desk operations and providing administrative support within a dynamic office environment. This role is essential in ensuring smooth daily operations and delivering exceptional service to our clients. The Lead Office Administrator will interact with patients, staff, and vendors, making strong communication skills crucial for success in this position.
Duties
Greet and assist patients and visitors at the front desk, ensuring a welcoming atmosphere.
Manage incoming phone calls using multi-line phone systems, directing calls to appropriate personnel.
Schedule appointments and maintain an organized calendar for all providers.
Process patient records and maintain confidentiality in accordance with dental office standards.
Utilize dental software such as
Paradigm
to manage patient information and billing processes.
Assist in the preparation of reports and documentation as needed, ensuring accuracy in medical terminology.
Coordinate office supplies inventory, placing orders when necessary to ensure availability.
Support the dental team with administrative tasks to enhance workflow efficiency.
Experience
At least 2 recent years experience as a Dental Office Administrator or in a similar administrative role is preferred.
Familiarity with dental office environments is a plus, particularly experience as a dental receptionist.
Proficiency in using dental software and technology, including electronic health record systems like Paradigm or Dentrix
Strong understanding of dental and medical terminology is beneficial for effective communication within the office.
Excellent organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
Strong interpersonal skills with a focus on customer service excellence.
