JOB SUMMARY

As a member of the MAGMA Language School executive team, the Operations Lead reports to the Head of the Language School and oversees both the school's and CELPIP teams and operations. This role is responsible for managing the administrative and operational needs of the Language School to ensure smooth program delivery and accurate reporting. The Operations Lead also provides timely feedback and insights to support the Head of the Language School in making informed decisions about program delivery and potential expansion.

PRIMARY DUTIES & RESPONSIBILITIES



Program & Operations Management



Organize quarterly orientation sessions for new students. Assist the Language Administrative team in addressing student needs in collaboration with the Student Relationship Coordinator and Crisis Counsellor. Draft and contribute to key presentations and communications, including materials for student orientation. Provide onboarding, training, and ongoing support for all language department staff. Collaborate with the Teacher Lead to ensure consistency in school policies and procedures and to support overall school outcomes. Organize regular team meetings and support the Head of the Language School in preparing agendas and relevant content. Coordinate with internal stakeholders to enhance operational efficiency and service optimization across the department. Manage classroom and facility logistics, ensuring operational needs are met in coordination with the Teacher Lead. Contribute to the development of new programs and activities, including volunteer-led initiatives and diversified funding opportunities.


Reporting & Data Management



Oversee data collection management, and student waitlist updates, ensuring accurate and timely entry of information across all systems, including the federal iCARE system. Manage reporting to funders, ensuring alignment with funding agreements and reporting guidelines. Track school expenses and assist in financial planning and documentation.

Program Development & Funding



Support the Head of the Language School in strategic planning for existing programs and in identifying opportunities for new initiatives and activities. Support and collaborate with the Head of the Language School and Program Coordinator on program development, including funding applications and grant writing. Build strategic partnerships with community stakeholders and promote a culture of collaboration.

REQUIRED SKILLS & QUALIFICATIONS



Bachelor's degree (or equivalent) in Social Sciences, Education, Languages, Administration, or a related field 2-3 years of experience in a management or supervisory role, preferably in education, community services, or the non-profit sector Knowledge of Canadian Language Benchmarks (CLB) and Portfolio-Based Language Assessment (PBLA) is an asset Proficiency in Microsoft Office Strong communication and team-building skills Excellent organizational and time management abilities Proactive, with strong initiative and problem-solving skills
