The Justice Services Assistant is responsible for assisting the department staff to ensure the effective daily operation of the Justice Department programs, projects, and operations by providing direct administrative and clerical support to the Justice Office. This position ensures a timely and organized flow of information and records management within the department by implementing information and communication management systems, procedures, and policies, including file and database systems development, maintenance and training. Key areas of responsibilities include:
Visitor reception;
Telephone, organizing incoming and outgoing communications;
Maintain filing system and project binders;
Documentation, such as minute taking, document preparation, data entry, time entry, maintain inventory stocks and controls;
Schedule of maintenance and repair of office equipment process requests;
Communicate with clients and community, provide research, provide reports;
Serve as the JOHS representative;
Assist in delivery of Justice programming and services;
Connecting clients and community members to supports;
Assisting clients and community members with court navigation and forms;
Assisting clients and community members with applying to legal aid, and;
Other related duties may be assigned as necessary.
Valued Qualifications
Knowledge & Experience
Mature individual of professional presentation with minimum grade 12 equivalent and combination of related training and experience.
Cultural knowledge and sensitivity of the FNFN community.
Knowledge of community supports and services, including mental health, housing, and training/employment opportunities.
Skills & Abilities
Excellent verbal and written communication skills, as well as good listening skills to listen to requests for information and ask questions for clarification.
Excellent interpersonal skills and ability to interact well with employees and the public.
High level of attention to confidentiality.
Strong computer skills and ability to use MS Office and Google Workspace(TM) applications.
Strong telephone etiquette and good organization skills.
Other (required)
Willingness to participate in ongoing learning.
Compliance with BC Immunization program and TB screening
Satisfactory completion of a police information check.
Ability to provide own transportation to and from work.
Valid Class 5 Driver's License and drivers abstract.
Optional (assets)
Applied Business Technology or equivalent Certification and previous office experience.
Interest in working with community members in the context of justice-related issues.
Familiarity with the Courts program.
Previous First Nation experience and an awareness and understanding of First Nations justice issues.
Ability to speak Dene and/or Cree.
Work Setting
This work takes place Monday to Friday, 8:30 a.m. - 4:30 p.m., excluding holidays and may require working occasional outside office hours. Manual dexterity is required to use desktop computer and peripherals. May handle sensitive information and documents. May be required to use Personal Protective Equipment. May be exposed to hazards associated with the sector.
