Under the general direction of the Manager, Client Services the IT Asset Specialist actively manages hardware and software assets within the organization including planning, monitoring, and recording software licenses, warranties, and/or hardware assets to ensure compliance with Okanagan College standards and with vendor specifications. The IT Asset Specialist will assist in forming procurement plans to optimize technology spend across the organization and will develop and make recommendations to improve procedures for tracking IT assets to oversee quality control throughout their lifecycles.
Functions and Duties
1. Manages the maintenance of records and databases containing information regarding licenses, warranties, and service agreements for the organization’s IT hardware and IT software
2. Investigates equipment or software under consideration to determine total cost of ownership throughout product lifecycle
3. Develops strategies and external relationships to implement plans for recycling or otherwise selling obsolete assets
4. Defines purchasing recommendations that support business goals, in collaboration with management and stakeholders
5. Monitors and analyzes trends in company spending and inventory control in order to make recommendations for the future, and to identify areas for possible savings and/or asset optimization
6. Coordinates the contract and invoice payment processes within the IT services department
7. Develops, prepares, submits and monitors the Department’s annual capital and operating budget; regularly reviews needs and spend patterns of IT assets
8. Liaises with and coordinates stakeholder feedback on area needs and requirements for equipment
9. Builds and develops positive and productive relationships with key internal and external stakeholders including Executive, management, and project teams
10. Oversees shipping, receiving, and handling of IT assets
11. Maintains current knowledge of a broad range of technologies
12. Recommends process improvements where appropriate
13. Performs other duties as assigned
Education and Experience
A two year Diploma or technical training in a related discipline or equivalent is required. A minimum of 1 year of related experience is required.
