NAIT\'s Department of Information and Technology Services (ITS) is seeking an IT Asset Management Admin to join our team. As a member of the Asset Management team, the IT Asset Management Admin will play a key role in ensuring the smooth flow of IT procurement activities related to equipment, software, and services. The incumbent will be responsible for financial, contract, service management administration, and providing administrative support for various department-wide programs. This position is eligible for a flexible work from home arrangement.

Key Responsibilities:

  • Manage procurement activities, including processing requisitions, monitoring orders, and ensuring receipt of goods in the Finance System.
  • Oversee Facilities Work Requests and coordinate procurement/payment activities with stakeholders.
  • Reconcile financial transactions, process journal vouchers, and handle invoicing for ITS services.
  • Collaborate with contract managers and legal counsel to manage contracts, agreements, and amendments.
  • Monitor contract activities, process invoices, and maintain records in the Contract Management System.
  • Handle service management tasks, including processing purchase requests and validating tasks in the Service Management System.
  • Provide administrative support for department-wide programs, directors, and CIO, including meeting coordination and back-fill for the team as needed.
Skills & Abilities:
  • Proficient in Microsoft Office Suite (e.g. Word, Excel, Outlook, Teams, SharePoint)
  • Experience with Finance System: Requisition Entry, Receiving, General Ledger, Journal Entry, Query and Reporting.
  • Strong understanding of IT procurement processes and best practices.
  • Excellent oral and written communication skills.
  • Detail-oriented with strong organizational and multitasking skills.
  • Ability to work independently and collaboratively in an environment with critical deadlines.
Qualifications:
  • Related post-secondary certificate or diploma
  • A minimum of 3 years of experience in IT procurement or a similar role.
  • Knowledge of IT hardware and software products.
  • Experience with PeopleSoft Finance is an asset.
  • Professional certification in procurement or supply chain management (e.g., CPSM, CSCP) is an asset.
  • Fluent in the English language.
  • Equivalencies may be considered.
Remuneration: $1,828.61 - $2,366.48 biweekly, plus a comprehensive benefits package. (Classification - Administrative Support V).

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
