COMPENSATION:

Payband 5$28.66to $31.55

HOURS:

7 hours per day, 5 days per week, 11 months per year. May be required to work outside of normally scheduled hours including evenings and weekends.

POSITION DESCRIPTION:




Under the supervision of the Director of the International Student program, the Administrative Secretary will work in a team


environment providing administrative and secretarial assistance to the International Student Program. Responsibilities will


also include reception for the Monterey Office. The primary role of the incumbent will be to manage, maintain, and facilitate


the operations of the ISP office, provide administrative support to the office staff, provide support to the cultural enrichment


program, and provide procedural office leadership to other clerical and educational assistant staff. Typical duties include


greeting and welcoming clients, communicating with international agents, students and families from other countries,


verbally and in writing; review, word process and transcribe confidential correspondence including people services data,


assist with applications and financial processes; navigate existing and emerging laws and requirements affecting the


program; organize and maintain office supplies; participate in organizing student non-academic activities and outings,


including driving students to and from the airport on occasion; ensure the proper operation and maintenance of the student


software systems (PowerSchool and the ISP Data Base); create and maintain digital student records and related


documents; and perform other related secretarial duties.

Excellent verbal and written skills in English and one or more



languages such as French, Spanish, Portuguese, or Mandarin would be considered an asset. Previous experience



working in an International Student Program would also be considered an asset.



REQUIRED AND PREFERRED QUALIFICATIONS: Candidates to be considered may be subject to testing.



Education and Training:



o completion of a minimum 1-year diploma or certificate program in administrative assistant, secretary, office


administration or related discipline is from a recognized accredited post-secondary institution is an asset.


Experience, knowledge and skills (must be able to demonstrate):



o three years of recent experience in a senior/head secretary or office manager role and/or an equivalent combination of


related experience, training and education may be considered


flexibility with work hours may be required experience with evaluating office systems and implementing new processes and procedures ability to develop systems, protocols and standards to organize electronic and manual files and records advanced word processing and document formatting skills excellent interpersonal, verbal and written communication skills. Both official languages (English and French) may be required. Other community language is an asset.


strong understanding of and experience with other countries and cultures basic understanding of accounting theory and procedures basic understanding of payroll and related legislation experience and ability to use MS Office Suite (Word, Excel, Outlook, Teams) ability to work effectively and collaboratively as a team member supporting the department, office, and community ability to work independently possess high degree of initiative, organizational skills, time management, and the ability to problem-solve ability to interpret difficult and sensitive situations and respond appropriately with tact and diplomacy efficient and accurate keyboarding skills required good understanding of the role of confidentiality and respect for privacy in an education setting previous office experience in an educational setting is an asset ability to meet multiple demands and deadlines in a busy office environment with many interruptions previous experience with student record systems preferred a valid Manitoba Driver's Licence, driver's abstract, and access to a reliable vehicle
