Job Summary:
The Inventory Control Coordinator is a key player in ensuring accurate and efficient inventory management across our warehouse and production operations. Reporting directly to the Manufacturing Manager, they are responsible for maintaining accurate inventory records, coordinating inventory movements, investigating discrepancies, and supporting continuous improvement in inventory processes. This role requires strong attention to detail and strong organizational, communication, and problem-solving skills.
Accountabilities (Outcomes & Measures):
Inventory Accuracy - Maintain precise and up-to-date records through cycle counts, reconciliations, and audits.
Inventory Operations - Ensure timely and efficient flow of materials to support production schedules.
Process Compliance - Enforce and improve inventory procedures, labelling, and non-conformance tracking.
Reporting & Data Integrity - Deliver reliable inventory reporting and KPI tracking to support decision-making.
Responsibilities (Tasks & Duties):
Inventory Accuracy
Maintain accurate inventory records in Sage 50 and MISys, updating quantities, adjustments, and movements in real time.
Conduct regular cycle counts and full inventory audits to verify stock accuracy.
Investigate and resolve discrepancies promptly to prevent production or reporting issues.
Track and reconcile work-in-progress (WIP) inventory between warehouse and production areas.
Lead physical inventory counts during year-end or audit periods.
Inventory Operations
Coordinate the movement of materials and finished good between departments and/or locations to meet production needs.
Work closely with the Purchaser, Production Liaison, and Production department to align material availability with forecasted demand.
Spend time on the production floor to monitor physical stock levels, track inventory movement, and resolve issues in real time.
Operate a forklift to move, stage, and organize inventory safely and efficiently.
Communicate material shortages or delays and assist in corrective actions to maintain production continuity.
Process Compliance
Enforce established inventory control policies, labelling standards, and material-handling procedures.
Label and track all non-conforming, quarantined, and returned materials to ensure compliance and traceability.
Support the implementation and continuous improvement of inventory control procedures and best practices.
Provide training and guidance to relevant staff on proper inventory management processes.
Reporting & Data Integrity
Prepare regular inventory reports, including stock status, adjustments, and KPIs.
Analyze inventory data to identify trends, variances, and root causes of discrepancies.
Provide insights to support purchasing, production planning, and process improvement decisions.
Ensure all reports and system entries are completed accurately and on time.

What We're Looking For:
Post-secondary degree or diploma in Supply Chain Management, Business Administration, or related field is required.
3+ years' experience in full-cycle inventory control, warehouse operations, or supply chain is required.
Certification in inventory or supply chain management is an asset.
Proficiency in inventory management software and ERP/MRP systems (Sage 50 and MISys preferred).
Willingness to spend time on the warehouse floor to monitor physical inventory.
Ability to accurately track, forecast, and resolve discrepancies in inventory.
Proficiency in Microsoft 365 (especially Excel).
Strong analytical and problem-solving skills.
Excellent organizational and time management abilities.
Ability to work independently and as part of a team.
Excellent written and verbal communication skills.
Valid forklift operating license.
Valid driver's license and vehicle.
