Why this role is important?
Reporting directly to the Quality and Compliance Lead, the Inventory Analyst A/QPIC is responsible for inventory management and supports procurement, with a focus on narcotics, controlled drugs and targeted substances for Central Pharmacy Services located in Burnaby. They will be responsible for developing and implementing inventory management policies, processes and procedures based on industry standards for narcotics, controlled drugs and targeted substances as per Health Canada and pharmacy regulations. They will also be responsible for analyzing and monitoring purchase and inventory trends to ensure overall goals in service levels, actively finding opportunities for improvements and enabling standardization across the site.
Will become an A/QPIC (Alternate Qualified Person in Charge) on the site's Health Canada Controlled Substances License
Acts as Inventory Management process owner and actively support projects/initiatives that impact Inventory Management focused on narcotics, controlled drugs, and targeted medications (NCTMs)
Ensure timely submissions (Monthly Activities Reports, annual reports) and communications with the Office of Controlled Substances (OCS)
Guide other A/QPICs and ensure effective execution of responsibilities
Daily preparation of cartridges and containers to be used in the production of compliance packs
Perform regular inventory counts along with daily reconciliations for NCTM products
Investigate, document, and report any discrepancies during product handling of Controlled Substances
Maintain documentation in accordance with standard operating procedures and as per Health Canada requirements for Controlled Substances
Responsible for implementation and maintenance of NCTM inventory management system
Monitors and analyzes purchase and inventory trends, inventory investment and returns to ensure overall goals in service level and other key performance indicators are achieved
Maintains the relationship with Inventory and Procurement teams to provide effective communication of changes to purchase habits as well as resolutions to product shortages, damages, long-term backorders, and discontinued medications
Regularly review inventory needs, considering current on hand inventory and required lead times to ensure Central Pharmacy Services can complete all services
Actively seeks out opportunities for improvement within the scope of inventory management and reporting to meet performance, quality, and financial targets
Partners with operations management and other teams to ensure effective resolution of all NCTM inventory-related issues
Maintain proper storage of medications within the pharmacy according to 5S principles
Ensure stock bottles are put away according to established workflow
Maintain a perpetual inventory system
Manage damaged and expired products by disposal protocol (e.g., "One Box")
Prioritize recalls and immediately isolate product; quarantine until details of the recall are provided
Management of preferred generic products and minimizing shrink because of supplier changes
Monitor and maintain MMS by performing daily inventory tasks like holding tank or updating UPCs
Support preparation of store communications for product availability updates to client stores
Perform other duties as required by Operations or Management
Other responsibilities:
Ensure NCTM inventory is detail received and records updated under the direct supervision of a Pharmacist
Unpack and receive pharmacy totes inside the pharmacy in a secure environment
Prepare and/or support with daily chain-of-signature shipments - must be able to lift 35lbs
Perform cycle counts and ensure stock rotation is completed and expired product is removed from the shelf and returned in accordance with standard operating procedures
Carry out daily inventory tasks, including, but not limited to placing orders, maintaining minimum stock levels, receiving orders, and investigating discrepancies
What you will need:
Hold a degree or diploma in pharmacy, medicine, dentistry, veterinary medicine, pharmacology, chemistry, biology, pharmacy technician, laboratory technician, pharmaceutical regulatory affairs, supply chain management, security, or another relevant field. If the Degree or Diploma is from a foreign institution, it must have an equivalency assessment issued by an organization recognized by a province or as defined in subsection 73(1) of the Immigration and Refugee Protection Regulations.
Strong interpersonal skills to effectively source information, obtain approvals, build relationships, and provide sufficient influence to achieve success
Creative problem solver and ability to work independently in a fast-paced environment
High degree of detail and accuracy while adapting to multiple priorities
Excellent written and verbal communication skills
Exceptional time management and problem-solving skills
Experience with Microsoft Excel and Access, and HealthWatch would be an asset
Experience with handling and managing Controlled Substances and inventory management would be an asset
Understanding of pharmaceutical/health care industry is preferred
This role requires the employee to be flexible to work a variety of shifts during the business' hours of operations, which may include evenings, weekend shifts and statutory holidays.
