. This position provides administrative support to ensure successful delivery of all international mobility programs for both incoming and outgoing students. Plans and implements actions required within the scope of the role to support the program development, organization, marketing, student enrollment, faculty and staff management and continuous operation of the department. Acts as the first point of contact for the international mobility programs, as well as for international Recruitment and Partnerships.

:
Responsible for the coordination and provision of department-wide functions associated with the operation and administration of the assigned program areas.
Provides information and assistance on a variety of matters related to mobility programs to the schools, incoming and outgoing students, staff, international institutes and other internal/external partners/agencies.
Supports the department in a collegial manner by performing administrative activities associated with the development of programs; advises management of any issues; prioritizes program administrative workload and performs any necessary follow-up. Reviews department timetabling requests, resolves conflicts and suggests alternative options, and maintains the department spreadsheet.
Provides administrative and logistical support, inclusive of room bookings, catering, invitations, minute-taking and meeting preparation, as needed for departmental or Institute meetings and events, such as department meetings, orientation, pre-departure programs, information sessions, Program Advisory Committee (PAC), students' awards, selection committees, interviews, department tour and school visits, exit interviews for outgoing students, as well as all enrolment and non-academic issues.
Takes minutes at meetings, prepares drafts for review after the meetings, finalizes minutes by getting all required signatures/approvals and archiving minutes for future uses.
Responds to general inquiries and re-routes emails to appropriate responder as needed. Acts on matters arising from correspondence. Supports international mobility team members on liaising with Program Heads to ensure international students are properly placed in their courses and meets all timelines as needed.
Provides program information at BCIT or partner institutions to current and prospective students and industry clients, referring them to information resources, appropriate agencies, counselling, or faculty as required.
Troubleshoots and resolves operational and administrative issues. Provides general information and redirection to students regarding who to contact or where to go for registration issues, course cancellations, refunds, transfers, records and course delivery; explains procedures and offers alternatives when appropriate; maintains records regarding transfer credit applications; assists in troubleshooting technical and system issues for students and faculty, with assistance from BCIT IT Services.
Maintains confidentiality and applies discretion to supporting the selection committee activities, including supporting the scheduling of interviews and submitting e-hires, assisting with onboarding and orienting new employees, and assigning department office space and equipment.
Initiates department purchase orders per budget guidelines to maintain office supplies, to ensure office equipment is serviced as necessary, and to performs routine office upkeep.
Maintains awareness of Department and Program goals and objectives, establishing priorities and flagging impacted items/issues requiring immediate attention. Maintains and updates processes and procedures related to day-to-day operation of department.
Maintains content for the International Recruitment and Partnership website, ensuring accuracy and currency of information; liaises with the International Student Centre on non-academic issues pertaining to international students, and adheres to applicable website policies and procedures.
Assists with development of promotional materials for international Mobility initiatives. Interacts and communicates with the BCIT International and Marketing Coordinator to promote international activities and agreements through career fairs and information sessions.
Supports the departmental attendance keeping by assisting with the full-year cycle of attendance maintenance according to Institute guidelines and collective agreements.
Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP).
Undertakes related duties as assigned, consistent with the job grade for this position.

Education:
Completion of Grade 12 plus completion of two years of post-secondary in Business Administration, Marketing, Computer Systems, or other related courses.
Experience:
Two years' general experience plus two years' current, practical experience in post-secondary education, one of which includes working with international students and programming.
Software/Computer Application(s) and Expertise:
Microsoft Office knowledge, including Word and Excel at the intermediate level.
Demonstrated proficiency with Adobe Connect Pro and Publisher.
Communication/Interpersonal Skills:
Excellent written and oral communication skills with proven ability to deal effectively with various levels of staff, faculty, administration, students and Industry partners with tact and diplomacy.
Proven skills in writing a variety of correspondence including letters, memos and email.
Demonstrated ability to work effectively in both independently and in a team environment.
Administrative Skills:
Strong aptitude for planning, organization, coordination, prioritization and attention to detail.
Strong problem solving, critical thinking, conceptual skills and ability to take initiative.
Accurate keyboarding skills at 50 wpm.
Proven ability to handle changing priorities, work to deadlines and make responsible decisions while maintaining high levels of customer service with minimum supervision.
Other Skills/Abilities:
Strong ability to take initiative in making recommendations for marketing and communications improvement and improving and streamlining office processes.

Salary Range
Salary Grade 6: $56,241 - $60,872 per annum.
Additional Salary Information
External hires are initially placed at the minimum of the salary range with set progressions to the maximum as per the Collective Agreement. Salary prorated based on percentage and term of appointment.
