The Vancouver Fraser Port Authority is responsible for the stewardship of the Port of Vancouver, Canada's largest and most diversified port. Our mandate as a Canada Port Authority, as set out by the Canada Marine Act, is to enable Canada's trade objectives, ensuring goods are moved safely and responsibly through the Port of Vancouver. That means providing infrastructure and ensuring the safe and efficient movement of marine traffic and cargo within the port. It also means we carry out reviews of proposed activities and developments on federal port lands and waters to determine whether a project can go ahead without impacts to the environment and community that cannot be mitigated.

The internal communications coordinator will play a key role in helping to support the day-to-day planning, coordination, and delivery of internal communications at the port authority. They will work closely with the team and key stakeholders to design and deliver internal communications in a timely and effective manner, on brand and in line with our style guidelines. This role will be responsible for ensuring that our corporate intranet is kept up to date and well maintained. The internal communications coordinator will support intranet publishers across the organization and help drive governance and compliance with our intranet standards. The coordinator is responsible for maintaining systems and processes, producing reports, presentations, and coordinating development of analytics, metrics, and feedback to help measure the effectiveness of internal communications.
In this role, the successful candidate will:
Accountabilities
Coordinate the planning of internal communications across a range of channels such as our employee intranet site, newsletters, town hall meetings, recognition events, and workshops
Liaise with key stakeholders and request updates, information, and content for internal communications, providing feedback where necessary
Coordinate internal communication requests, liaising with others in the team to ensure that communications are planned and delivered in line with our systems and processes
Monitor the employee communications mailbox, respond to communication requests, and ensure the master internal communications plan and communications calendar is updated regularly
Design, develop and deliver internal communications in a timely and effective manner, on brand and in line with our style guidelines
Work alongside other members of the team to help draft communications and coordinate the creation and delivery of the weekly HubTalk newsletter
Research, proof, edit, review, drafts updates and prepare meeting agendas, presentations, briefing notes and emails to employees
Develop graphics, photos, videos, podcasts and illustrations for publication across various digital platforms
Coordinate with graphic designers, videographers, writers, and other communication agencies where necessary
Publish content on the employee intranet site to help increase engagement, understanding and collaboration online
Help bring content on the intranet to life using photos, videos, and illustrations, utilizing best practices for online publication
Ensure that the employee intranet site is an up to date and accurate by conducting regular audits, reviews, and reporting
Help drive governance and compliance with our intranet standards across the organization providing training and support to intranet publishers where necessary
Coordinate the gathering of employee feedback, prepare reports, and summarize data and analytics on a regular basis to help ensure the effectiveness of internal communications
Analyze feedback and respond to comments and questions from employees online in a timely manner, helping ensure that employees are engaged and have a voice
Develop, document, and maintain internal systems and processes to ensure that employee communications are planned, coordinated and delivered effectively
Maintain digital asset libraries and ensure documents and plans are organized and maintained in line with our data records standards
Education & Experience
Completion of a two-year diploma or associate degree in marketing, communications, public relations, or another acceptable discipline from a recognized educational institution
A minimum of three years' experience in a role responsible for developing and delivering digital media, including the development and maintenance of websites, web content, and online publishing at a corporate level or for large audiences (e.g., 500+ employees)
Must have demonstrated experience in graphic design, photo editing, video production, and email marketing
A strong understanding of SharePoint online and graphic design principles, user experience, and Microsoft office suite of tools, Adobe Suite, and email marketing tools
Previous experience shooting and editing video content, including pre-and post-production will be considered an asset
