We are looking for an Intermediate Program Delivery / Reporting Coordinator to join our Toronto Transit and Rail team. We are seeking someone who will be excited to help us deliver one of the largest Transit / Rail infrastructure programs in Canadian history. You will be an important part of a $90B Program Portfolio that, once completed, will improve the quality of life for millions of GTHA citizens.

The Intermediate Program Delivery / Reporting Coordinator will focus initially on completing close-out reports for applicable projects. The coordinators primary responsibility is to ensure the compilation and preparation of close-out reports, summarizing key aspects and outcomes of the project or program. This will include project's achievements, challenges, lessons learned, and recommendations for future projects: Compiling information from various sources, analyzing data, and presenting it clearly and concisely, verifying the information, cross-checking data, and ensuring that the report aligns with the project's objectives and deliverables. This role will be crucial in ensuring the project's or program's smooth completion and closure. Heres What Youll Need:

o Document management: Collecting, organizing, and reviewing all relevant project documentation, including progress reports, financial records, contracts, and other project-related information. Ensuring that all documents are complete, accurate, and up to date is essential.
o Close-out report preparation: Preparing comprehensive close-out reports that summarize the project's achievements, challenges, lessons learned, and recommendations for future projects. Compiling information from various sources, analyzing data, and presenting it clearly and concisely.
o Quality assurance: Ensuring quality and accuracy of the close-out reports. This involves verifying the information, cross-checking data, and ensuring that the report aligns with the project's objectives and deliverables.
o Collaboration and coordination: Collaborating with project managers, team members, and stakeholders to gather the necessary information and insights for the close-out reports. Coordinating with different departments or teams to obtain their contributions and perspectives.
o Timely submission: Meeting deadlines is important in this role. Ensuring that close-out reports are completed and submitted on time, adhering to specific requirements or guidelines set by the organization or project stakeholders.
o Lessons learned and recommendations: Identifying and documenting lessons learned throughout the project's lifecycle and providing recommendations based on these insights to improve future project management processes or practices.
o Continuous improvement: Contributing to the continuous improvement of project management practices by identifying areas of improvement, suggesting process enhancements, and sharing best practices with the project team.

Youll also need:

  • A minimum of 5 years of relevant experience.
  • Applicable degree in Construction Management or equivalent is desired.
  • Demonstrable knowledge of Project Management.
  • Experience in Transit / Rail and large multi-faceted capital projects are a plus.
  • Ability to work in a fast paced, client facing environment.
  • Ability to communicate with a range of stakeholders both Internal and External.
  • Proficient user of Microsoft Office tools.
