Purpose:
We are seeking a highly organized and proactive Project Administrative Assistant to join our team in Sudbury, Ontario. The individual will provide comprehensive administrative and logistical support to our project team. This is an on-site role. The successful candidate will play a key role in ensuring the smooth and efficient execution of daily project activities by managing documentation, coordinating communication, and supporting project operations.
Responsibilities:

  • Provide day-to-day administrative support to the Project Manager and project team.
  • Prepare, format, and maintain project documents, reports, and correspondence.
  • Coordinate and schedule meetings, travel arrangements, and site visits.
  • Maintain accurate records of project files, permits, safety documentation, and compliance reports.
  • Liaise with contractors, suppliers, and stakeholders to ensure timely information flow.
  • Manage data entry, filing systems, and document control processes in accordance with company standards.
  • Support health, safety, and environmental (HSE) initiatives through documentation and record-keeping.
  • Provide general office support, including reception duties, expense reports, and invoice processing.
Qualifications
What You Will Bring
Technical and Industry Education & Experience Requirements:
  • Post-secondary education in Business Administration or a related field.
  • Intermediate-level administrative experience; experience in mining, construction, or engineering projects is an asset.
  • Experience in an EPCM/Consulting environment is preferred.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint.
  • High attention to detail, accuracy, and confidentiality.
  • Ability to work effectively in a team environment and adapt to changing project needs.
