Your work environment at EXP

EXP is currently searching for a full-time Production Coordinator to join our strategic growth focused, Western Canada Business Development team. Your immediate impact would be felt in our high production letter proposal disciplines across various markets in Western Canada. This role focuses on providing support and coordination for letter proposals and qualification-based submissions as well as tactical business development initiatives. You would be based in our Calgary, AB, Kamloops, BC or Burnaby, BC office (option to work a flexible hybrid model, which provides an agile, yet structured work environment) and working collaboratively within our region.

This position helps raise the quality of our proposal practices and submissions by guiding technical teams through Western Canada Business Development methods while allowing the wider management team to focus on developing winning strategies and client-focused content, increasing EXP\'s win rate.

What a day at EXP has in store for you

  • Assist in the overall production of standard letter proposals/qualifications for all disciplines across Western Canada
  • Review proposal/client requirements and coordinate with discipline/project managers
  • Coordinate, research, gather, edit, and produce proposal materials, including verifying and formatting proposal information
  • Populate non-technical sections and standard company inputs to bids
  • Maintain proposal, qualification, and data files, including resumes, project descriptions, and content database
  • Source content from internal libraries
  • Proof and tailor pre-written material as appropriate
  • Engage with internal and external stakeholders to ensure the timely completion of technical inputs
  • Facilitate and drive internal business development initiatives (SWAG, Client Gifts)
  • Maintain and enter data in EXP\'s CRM database
  • Collaborate with internal teams at all levels to build impactful relationships
  • Coordinate and Support PR initiatives with the Communications team
  • Brand ambassador of EXP - ensure compliance with brand guidelines and written content
  • Other duties as assigned
What your experience looks like
  • 3-5 years of letter proposal experience, ideally in the AEC industry
  • Required skills:
  • Excellent verbal and written communication skills
  • Strong organizational skills with the ability to work under pressure and meet tight deadlines
  • Strong attention to detail
  • A self-motivated team member, who demonstrates initiative to go above and beyond the task at hand, can effectively multitask
  • Flexibility to work overtime and/or a modified schedule to help the team meet proposal deadlines as required
  • Ability to follow directions and perform tasks consistently without continual supervision
  • Proficient with Microsoft Office Suite (including Word, Excel, PowerPoint, Outlook, and SharePoint)
  • Experience with CRM software, especially Deltek Vantagepoint is an asset
  • Flexibility to work overtime and in a hybrid model.
  • Thrives in working in a team environment in collaboration to achieve strategic goals.
