About the Opportunity
Our Public Sector Client has an exciting opportunity for an experienced Governance Coordination Support Administrator to support strategic governance activities and coordination across multi-departmental stakeholders. This role will play a key part in enabling organizational readiness, strengthening decision-making processes, and ensuring seamless execution in support of senior leadership objectives in a complex defence and operational environment.
The successful candidate will support governance administration and coordination under the direction of the Director of Joint Programme Integration (DJPI), executing duties aligned with departmental governance activities and collaboration with interdepartmental and allied partners.
Duties include, but are not limited to, the following:

  • Inform key staffs of schedules, locations and agenda topics
  • Bring forward previous topic records, as required, to enable analysts
  • Collect and collate analysis of agenda topics from assigned stakeholders
  • Assist in the preparation of briefing materials
  • Collect, distribute and archive records of decision and/or read-outs from meetings
  • Assist to track and report on action items assigned to staff
  • Proactively administer all secretarial functions relating to governance activities, including:
  • Booking appropriate online and/or physical meeting locations for pre-briefs and meetings, as required
  • Administering meeting agendas and invitations
  • Collecting briefing materials from participants, and cohering content into presentation briefing decks
  • Taking detailed notes and drafting records of decision / discussion
  • Disseminating and archiving records of decisions / discussion
  • Tracking, collecting and distributing information, as required by action items assigned in records of decision / discussion
About You
The successful candidate will have the following:
  • Relevant post-secondary education in business administration or related field
  • Minimum 23 months experience within the past 5 years using Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, and SharePoint within the Government of Canada. One reference required
  • English Essential - Advanced oral, comprehension, and written
  • Valid Secret clearance required

  • Duration: Estimated contract period January 6, 2026 - December 7, 2026 (48 weeks)
  • Location: Carling Campus, 60 Moodie Drive, Ottawa ON
  • Work Environment: Onsite, 5 days per week
  • Travel or Overtime: Not required
