Job Summary

The department's branches work together to ensure a high standard of customer service delivery, as well as effective, efficient, and safe performance for the operation, development, and maintenance of campus buildings.
The Interior Services Administrative Assistant provides clerical and administrative support to the Manager, Interior Services. This role may also support other units under the purview of the Associate Director of Operations and Facilities Services. The position is an essential point of contact for departmental staff and acts as a liaison to the greater Facilities Management group as well as other central university service providers. The Administrative Assistant is responsible for assembling employee leave information and employment contracts, supporting the recruiting process, and providing general administrative duties including ordering supplies, file/database maintenance, and organizing internal meetings and events.
Job Requirements
Experience:
This position requires a level of education, training, and experience equivalent to two years' experience providing administrative support in a busy office environment, preferably within Facilities Management or a related industry.
Knowledge/Skills/Abilities:

  • Experience composing business communications such as correspondence, memos, reports, and spreadsheets.
  • Experience scheduling meetings and calendar coordination.
  • Experience in maintaining confidential and sensitive information, including employee records.
  • Experience with pre-planning, documenting, and recording meetings.
  • Experience with event planning and coordination.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with computer applications (i.e., MS Office Suite, databases, spreadsheets).
  • Ability and willingness to learn new technologies and software's.
Specialized Knowledge/Education:
  • Knowledge of Facilities Management Information System (FMIS) software, is an asset.
  • Knowledge of Facilities Management processes and procedures, is an asset.
  • Knowledge of UVic buildings and grounds, is an asset.
