Summary



The Polycultural Reception Centre is designed to provide immediate and essential services to Government Assisted Refugees (GARs), during the initial period after the refugees arrive in Canada, with the focus of equipping GARs with accommodation and daily necessities, knowledge, skills and abilities as well as connections with broader community to live safely and independently.

This role is responsible for receiving clients and is first point of contact for clients at reception center including ongoing client intake, determining eligibility criteria, gathering basic background information, connecting clients to appropriate staff, providing information on services offered, rules and requirements, responding to emergency situations, and working with other internal and external teams onsite and suppliers.

Responsibilities



Creates a welcoming environment by greeting clients, handling queries by phone, email. Provide concierge services to clients such as travel arrangements, taxi services, information regarding local amenities and attractions. Based on initial contact, complete intake forms and enter relevant data into internal and external databases, refer clients to internal program staff. Manage room assignments, conduct wake-up calls for RAP & POE clients. Coordinate RAP & POE client travel to/from reception center and airport. Provide comprehensive information to clients on RAP & POE services offered, rules, and requirements. Assist in responding to client requests and complaints. Organize and maintain room service schedules for RAP & POE clients. Manage housekeeping schedule for rooms. Manage room keys. Respond to emergencies and prepare serious occurrence reports. Ensure efficient service delivery for RAP & POE clients. Track and gather applicable data to generate comprehensive and accurate statistical reports Maintain documentation related to supplies, purchase orders submitted, service contracts, etc. Foster strong working relations with agency programs and partner organizations. Actively participate in professional development initiatives. Assist in troubleshooting technical issues onsite. Perform reception duties Other duties as assigned

Requirements



Degree or diploma in Administrative Services, Social Services or Counselling and at least three years' experience working with immigrant communities or a combination of experience and education. Knowledge of immigration and refugee services, GTA-based programs, agencies, and issues facing newcomers Familiarity with issues facing newcomers in a Canadian urban setting and systemic barriers to integration in education, social, cultural, and economic aspects of Canadian life. Excellent interpersonal, cross-cultural, customer service, written, and verbal communication skills. Preference will be given to those who speak additional languages. Strong organizational and technical skills, including proficiency in Microsoft Office. Ability to work flexible schedules as needed.
