The Patient Intake & Welcoming Coordinator is the first point of contact for all patients and plays a key role in creating a positive, organized, and seamless start to the patient experience. This role focuses on fast-paced, short-duration tasks such as answering phones, completing intake forms, checking patients in, and preparing charts. By ensuring all information is accurate and ready before the clinical appointment begins, this coordinator supports smooth workflow for both patients and providers.
Key Responsibilities
Patient Communication & Support
Answer phones, respond to emails, and manage walk-in inquiries with professionalism and warmth.
Greet and check in patients, update demographic/medical information, and prepare digital or paper intake forms.
Contact late or missing patients and assist with arrival flow to keep the schedule running smoothly.
Intake Documentation & Chart Preparation
Ensure all required medical, dental, and insurance forms are complete before the patient is seated.
Prepare and organize charts, confirm accuracy, and flag missing information.
Qualifications
Strong verbal communication skills; friendly, clear, and confident with patients.
Excellent organizational skills and strong attention to detail.
Reliable, responsible, and punctual with consistent attendance.
Ability to stay positive and professional during high call volume or difficult situations.
Comfort using computers, digital forms, and electronic records.
Ability to maintain discretion with sensitive patient information.
Team-oriented and willing to rotate roles as needed through cross-training.
Experience in dental or medical administration is an asset but not required.
Post-secondary education in administration, healthcare, customer service, or a related field is beneficial.
