We are seeking a detail-oriented and organized Intake Coordinator to join our mental health clinic. The ideal candidate will manage patient intake processes, coordinate appointments, and ensure a smooth flow of patient information. This role is essential in providing exceptional patient service and supporting the efficient operation of our office. Prior experience with mental health or medical office procedures, electronic medical records, and front desk responsibilities is highly preferred. The Intake Coordinator will serve as the first point of contact for patients, requiring excellent communication skills and proficiency with office management systems.
Responsibilities
Greet patients professionally and assist with check-in procedures using electronic scheduling and financial software
Collect and verify patient information, insurance details, and medical history
Schedule appointments accurately while managing multi-line phone system to handle incoming calls efficiently
Confirm upcoming appointments and follow up on patient inquiries or rescheduling needs
Maintain organized patient records in compliance with privacy regulations
Collaborate with clinical staff to ensure all necessary documentation is complete prior to appointments
Manage front desk operations, including handling payments, insurance processing, and administrative tasks
Assist in maintaining a clean and welcoming office environment, supporting overall office efficiency
Skills
Experience with scheduling and financial management software such as Jane and QBO is highly desirable
Strong knowledge of mental health terminology and familiarity with DSM-5 is considered an asset
Previous experience as a mental health receptionist or in a medical office setting preferred
Excellent organizational skills with the ability to prioritize tasks effectively
Proficient in handling multi-line phone systems and managing multiple administrative duties simultaneously
Outstanding communication skills to interact professionally with patients and staff
Ability to adapt quickly to new technology and office procedures
Demonstrated attention to detail and confidentiality in handling sensitive patient information
