Position Overview



Velaria Systems is seeking an experienced Inside Sales and Project Manager to strengthen our sales operations and ensure seamless customer support across both turnkey projects and dealer/specifier opportunities.

This role is the central hub for project intake, quoting, and CRM management (NetSuite + Monday.com). You will ensure that all opportunities are correctly captured, managed, and reported, while supporting Sales and Design Studio with accurate, timely data and documentation. You will act as a primary conduit between our outside sales team and partner network, end clients, and inside stakeholders as required.

The ISM will not be responsible for prospecting or closing new business. Instead, you will enable sales growth by providing best-in-class operational support, accurate pipeline reporting, and fast, reliable quoting.

Key Responsibilities



Project Intake & Quoting: Act as the first point of intake for both dealer/specifier opportunities and turnkey projects; review incoming requests, ensure documentation completeness, generate/manage quotes in NetSuite, and ensure timely delivery.

CRM & Reporting: Maintain accurate data for all opportunities, quotes, and orders; own pipeline reporting and dashboards; provide weekly/monthly reporting; track quote-to-order conversion rates.

Sales Support: Provide operational support to Sales Reps across North America; liaise with Operations and Finance for order processing; maintain document libraries.

Cross-Functional Collaboration: Work closely with Sales, Design Studio, Project Intake Lead, and Operations to ensure smooth handoffs and support process improvements.

Perform other duties as required.

Key Performance Indicators (KPIs)



Accuracy of CRM data (NetSuite / Monday).

Quote turnaround time (speed and completeness).

Internal satisfaction (Sales, Design Studio, Operations feedback).

Pipeline reporting quality (weekly/monthly).

Detail-oriented and highly organized, able to handle multiple requests simultaneously.

Strong communicator who can bridge sales, technical, and operational teams.

Proactive problem-solver who ensures nothing slips through the cracks.

Comfortable working with CRM systems and reporting tools.

Customer-focused, but structured in your approach.

Requirements



4-6 years of experience in inside sales, sales operations, or sales support, preferably in architectural products, design, or construction.

Strong working knowledge of CRM platforms (NetSuite preferred) and proficiency with MS Office.

Experience generating quotes and managing sales data.

Ability to prioritize and work under deadlines in a fast-paced environment.

Strong analytical and reporting skills.

Excellent written and verbal communication skills.

Ability to read architectural drawings and provide take-offs.

Job Type: Full-time

Pay: From $70,000.00 per year
