As an

Information Processing Team Member - Reception

, you will be responsible for the processing of driver trip envelopes and loose documents, by batching and scanning documents into correct load numbers, processing images from the herd2go, driver expense reimbursement, processing carrier invoices and paperwork, responding to POD requests, proof of delivery retrieval, communicating with Fleets regarding missing paperwork, all reception duties and ordering office supplies.


This role requires high attention to detail and a drive for results.

Specific Responsibilities include:




1) Process Trip Envelopes/Loose Documents

Remove, organize, and scan all documents into the image system. Assign all documents to correct load numbers. Store all scanned documents in labelled boxes.

2) Image Uploader/Herd2Go

Process all pending picture uploads of POD/BOLs sent in by drivers. Ensure correct load numbers have been assigned.

3) Carrier Invoices

Process all carrier invoices and paperwork from shared inboxes. Ensure carriers are sending correct paperwork for loads.

4) Driver Expense Reimbursement

Reimburse drivers who submit receipts for on the road expenses. Two methods of reimbursement, either drivers upload a digital copy of the receipt or send in the physical copy. Answer driver calls about their expenses. Answer emails sent to a group email.

5) POD requests/Missing Paperwork

Respond to all proof of delivery requests. Audit missing paperwork and communicate with Fleet to obtain.

6) Reception

Answering and directing queue calls to appropriate departments or individuals. Organize and sorting of all Incoming mail and delivery of internal mail. Setting up all outgoing mail (Canada post, Fed-ex etc.) Ordering basic office supplies weekly.

Our Ideal Candidate will possess the following qualifications:



Reception and/or administrative work experience. Professional work ethic and the ability to maintain confidentiality. Ability to work with minimal supervision. Strong attention to detail. Strong oral and written communication skills. Strong interpersonal skills. Organized and capable of performing multiple tasks in a fast-paced environment. Proficient computer skills, including experience working with MS Office Suite.
