Position Summary:

Under the direction of the Client Experience Assistant Manager, the Info Clerk provides information to clients of Athletics and Recreation. Following client experiences best practices, the Info Clerk greets clients, students and staff and responds to inquiries related to Athletics & Recreation services and programs available. Ensures daily tasks are completed efficiently.



Major Duties and Responsibilities:Obtains daily float envelopes for the Client Experience office. Acts as the first point of contact for individuals seeking information about services offered. Responds to inquiries, providing information to callers, visitors, or email requests. When necessary, refers issues to supervisor or other resource persons. Provides information in-person, via phone or via email concerning our programs, registration/course fees etc. Communicates cancellations and /or fitness class changes to participants enrolled. Processes credit card, debit card or cash payments, related to sales of fitness class registrations, fitness center memberships, camp registration and locker rentals. Performs calculations for refunds and/or discounts as per the policy and protocol in place. Prepares access cards for members. Prepares forms for class distribution and / or for signage in required areas and distributes attendance rosters to course instructors. Maintains knowledge of department on-line portal and website to assist efficiently and navigate callers seeking information. Maintains inventory of supplies and equipment (Identicam) for the area. Re-orders as required. Troubleshoots day-to-day issues on office equipment (payment processing terminals, ID card printers etc.) and notifies manager of any related issues. Receives and distributes mail. Gathers and sends mail. Completes procedures specific to courier services. Sends faxes when required. Using appropriate software, creates and saves electronic documents. Meets with supervisor for updates on procedural changes.


Other Qualifying Skills and/or Abilities:Must be client focused and service oriented, with a proven ability to interact with clients. Ability to communicate and deal effectively and diplomatically with faculty, staff, students, and the general public. Proven ability to work independently and in a team environment. Demonstrated ability to listen, receive and transmit information accurately. Must have strong communication skills. Demonstrated initiative, organizational skills, and ability to prioritize and multi-task. Must have strong attention to detail Demonstrated ability to work in a PC environment using an inhouse software along with Microsoft office (word, excel, email, and the internet). English, French written and oral required.

Position Monday to Friday working 3:30pm to 11:30pm
