JOB DESCRIPTION: At The Indian Friendship Centre, we are passionate about the cause and the people we serve in our community through various programs and services offered.Indigenous Administrative Support Worker is one of the key forces behind both, and we are currently seeking a highly motivated individual(s) who is/are personable, reliant, and self-directed, with an eagerness to assist and re-direct clients internally and externally, as needed. The selected person/people must be flexible, possess high problem-solving skills and have the willingness and self-initiative to take on new challenging tasks on an everyday basis. The ideal person/people for the role will initially ensure clients receive prompt, welcome and courteous assistance and develop an inviting reception and functional front desk area for the community. As part of the Core Capacity group, this particular individual(s) will have the responsibility to assume more high-priority administrative tasks, on behalf of the Executive Director, Administrative Services and Human Resources Coordinator, as directed.WHY THE INDIAN FRIENDSHIP CENTRE?

Indigenous people who possess the qualifications, competence, professional capabilities, previous work experience and ability and willingness to meet the defined needs, goals and policies of the IFCSSM will be given first preference.RESPONSIBILITIES: Client SupportServe as an initial point of contact and provide respect and professionalism to all clientsManage and direct all calls to the appropriate staff and/or officeProvide general information to incoming inquiries via phone, e-mail or in-personFront DeskOversee Covid-19 regulations: manage contact-tracing list, ensure temperatures of all staff/board/clients are documented, ensure everyone wears a face covering, and sanitizers are available, etc.Ensure front-desk is kept tidy and supplies are well-stocked (ie. paper for copier, pens, letterhead, envelopes, postage stamps, etc.)Have up-to-date forms and information available for clients and staff (ie. directories, lunch reception coverage, etc.)Reception DutiesOrder supplies and manage office inventory and office equipment, as requiredProduce necessary correspondence and documents as directed for internal and external use; proofread content, accuracy and formatMaintain a daily record of staff arrivals, absences and out of office trips during the course of the dayPhotocopy, fax, receive and distribute mail, etc.Upkeep of Membership database, Centre's website and FacebookObtain and track staff calendars in order to provide appropriate responses to clientsAssist with Annual General Meetings or any General Meetings that may ariseMonitor parking lot, from time-to-time, to ensure only staff vehicles are in the lotAttend and track minutes for any staff meetingsWork collaboratively with other IFC staff to provide a safe, healthy environment for each other and other clientsAdministrative Duties/Other Duties, as AssignedCreate, maintain and update physical and electronic filing systems, as directedPhotocopy, fax, create labels, checklists and tracking systems, as neededCreate informational packages/binders, as requestedEDUCATION, TRAINING & EXPERIENCE: Post-secondary diploma or degree in office administrationMinimum 1-year reception and/or administrative assistant experienceContinued education in Indigenous studiesOr the equivalent combination of education and experienceKNOWLEDGE, SKILLS & ABILITIES: Demonstrated experience and proven ability to deal respectfully and competently with clients, community members and partners from diverse cultural, linguistic and educational backgroundsMaintain personal and professional integrity and handle confidential information with discretionProven accuracy and attention to detailStrong work ethic and reliabilityExpert organizational, time-management and multi-tasking skillsExceptional listening, verbal, written communication and interpersonal skills with a proven ability to maintain sensitivity towards cultural, religious, economic and social beliefs, values and opinionsHigh-level experience utilizing Microsoft Office and other databasesUnderstanding of social media platforms for use of creating, updating and uploading program and Centre contentKnowledge of Ojibway/Anishinaabe culture, language and traditionsMust work independently, but also effectively as a team memberREQUIREMENTS: Proof of valid Covid-19 Vaccination (Dose 1 & Dose 2)Current and valid Vulnerable Sector Check, as per the Criminal Record Review ActMust possess a valid Driver's License and access to a reliable vehicleMust provide a clear Driver's AbstractMust have or is willing to obtain First Aid/CPR Training CertificationAbility to work flexible hours (occasional evenings and weekends, may be required)Occasional travel for networking and/or training purposesThe Indian Friendship Centre (IFCSSM) is dedicated to building a workplace that reflects the diversity of the community in which we live and serve.
