ORGANIZATIONAL BACKGROUND



Funded by Veterans Affairs Canada, the Atlas Institute for Veterans and Families (formerly the Centre of Excellence on Post Traumatic Stress Disorders) was established in 2019 to provide better access to information, research, tools and expertise on PTSD and related mental health problems and illnesses. The goal of Atlas is to create knowledge networks with researchers, service providers, Veterans and their Families across Canada to increase expertise on military and Veteran mental health, suicide prevention and substance use disorders. Atlas will create new knowledge on Veteran mental health treatments that work and place it directly into the hands of mental health professionals and others working with veterans on a daily basis. Atlas will share evidence-based treatment protocols and best practices among the Veterans Affairs Canada network of Operational Stress Injury Clinics, the Canadian Forces Health Services, and with mental health professionals across the country.

First responders, their families and other Canadians living with and affected by PTSD or a related mental health problem will also benefit from the information and knowledge developed at Atlas.

POSITION OVERVIEW


Reporting to the Director of Implementation, the Atlas Institute is seeking an Implementation Project Coordinator, who will support projects and initiatives led by the implementation team. The successful candidate will be responsible for working collaboratively with colleagues and external stakeholders to coordinate the daily tasks of projects related to the development and delivery of online, blended-learning, and/or in-person trainings, webinars, consultations, communities of practice and/or events, and may include the development of resources related to these projects.

DUTIES AND RESPONSIBILITIES

Coordination of multiple projects within our implementation team. This includes the planning and overseeing coordination of: + Cvent, our registration platform
+ virtual and in-person trainings, webinars, communities of practice and events in collaboration with internal colleagues and external partners
+ pilot and full launch of our mental health consultation program in collaboration with a Senior Implementation Specialist
+ support general implementation team improvements including evaluation, cross project tracking and consistency among other supports under the supervision of the Director, Implementation.

Specific duties can include: + Schedule coordination: Create detailed project work plans and track progress using Smartsheet and other project management tools. Coordinate dependencies across teams and projects
+ Communication coordination: Plan and coordinate virtual and in-person project team meetings. Prepare meeting documents and reports for project teams. Create project status and communication materials for project teams and relevant members of the leadership team. Communicate with external stakeholders using a variety of platforms
+ Change coordination: Efficient and timely coordination and tracking of project changes. Implement project changes and interventions to achieve project outputs.
+ Risk coordination: Track overall project risks and assist with problem resolution or risk mitigation as needed
+ Data management: Organize, analyze and report on data to inform project and team decision-making
+ Work with multiple teams to ensure cross-functional coordination of goals, milestones, and activities.
+ Monitor and report on progress of projects to the leadership and executive teams

SKILLS AND ATTRIBUTES

Demonstrable success working in an ever changing and results oriented environment, in interdisciplinary teams, and in partnership with groups such as mental health service providers, researchers, and those with lived and living experience Experience managing data sets across multiple projects Demonstrated skill in coordinating various project timelines Superior writing ability and the capacity to communicate effectively with a variety of audiences Exceptional organizational skills and time management skills A self-starter; ability to work with minimal supervision and to ask for help when needed Strong attention to detail Quick learner; able to pick up new concepts and technologies quickly. Demonstrated respect for understanding of the life experiences of Veterans, Families and people living with mental health problems and illnesses and of diverse populations, and experience working with people with first-hand experience of mental health problems/illnesses Familiarity with practice, research and policy issues pertinent to the mental health field in Canada

QUALIFICATIONS

Bachelor's degree in a mental health focused field At least three years of project or program coordination experience Being a Veteran or Veteran Family member is a strong asset Familiarity and background working with military and RCMP Veterans and Family members is a strong asset Fluency in French and English is a strong asset CAPM/PMP certification is an asset Experience with learning management systems or registration platforms is an asset

COMPENSATION

Salary range: $65,000 - $74,750 per year Competitive benefits package, including 4 weeks of paid vacation and enrollment in the HOOPP Pension Plan Other internal benefits include access to professional development funds and organizational trainings as available

WORKING CONDITIONS



Working standard office hours with start and end time flexibility (37.5 hrs/week). Option for a condensed 4-day work week available upon approval; Must be comfortable working in open space and virtual environments; Physical/cognitive demands include use of typical office equipment, prolonged periods of sitting and working on a computer/telephone, high degree of concentration and attention to detail; Psychological demands include deadline drive requirements, capacity to organize and prioritize own work, adaptable to change and ability to set and work towards performance and development goals.
