Description:
We are looking for someone who is bilingual (in Chinese language and English) who is accurate, responsible, and passionate about the immigration space.
The candidate may assist in customer communication, client reception, filing work such as school registration and other temporary residence visas and permits and permanent residence filing. The candidate is also required to communicate with external parties on behalf of the company, and may assist in marketing and promotional initiatives of the firm.
On-the-job training will be made available but it is expected that the candidate will be a self-starter.
Job Duties:
Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material
Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments and organizations
Schedule and confirm appointments and meetings of employer
Answer telephone and electronic enquiries and relay telephone calls and messages
Greet visitors, ascertain nature of business and direct visitors to appropriate person
Review, analyze, and prepare application documentation including application forms and supporting documents such as personal letters, financial information, and photographic evidence
Informational liaising with various stakeholders including clientele, team members, and external parties
Continual communication and collaboration with team members
Answer basic client enquiries and/or delegate to team members
Complete administrative documentation requirements
May be tasked with drafting and creating client resources and marketing materials such as checklists, administrative guides, promotional materials, etc.
Become familiar with basic immigration regulations, policies, and procedures
Qualifications Required:
Fluency in English (mandatory); optional: Mandarin (preferred) and/or Cantonese (preferred)
Detail-oriented
Excellent interpersonal skills
Capacity for learning and working well individually and with team members
High competency in computer usage functions and digital literacy; intermediate familiarity with usage of softwares, including Microsoft Word, Excel, Outlook, file management systems, and media-editing software.
Completion of at least 2 years of post-secondary education (preferred)
At least 1 year of relevant work experience in administrative assistance or paperwork filing
