The Role:
We are looking for a motivated and energetic Project/ Operations Coordinator to join our team. The ideal candidate will excel in a fast-paced work environment with minimal supervision. The Project / Operations Coordinator will be responsible for estimating HVAC/R repairs, installation projects, and preventive maintenance agreements.
Responsibilities
Estimating HVAC/R repairs and preventive maintenance agreements.
Assist management in estimating installation and retrofit projects.
Following up on service recommendations, customer requests, leads and referrals.
Attempt to close sales, as well as following up on previous estimates where an immediate close was not possible.
Participates in the development and presentation of client proposals.
Create work orders/ job numbers for approved customer quotes and projects. And ensure all technical documents, budgets, quotes ect. are accompanying and verified for job billing.
Sourcing and ordering parts and materials for preventive maintenance and repairs.
Coordinating with subcontractors to get quotes and service arrangements.
Following up and evaluating vendor quotes and estimated time of arrival.
Following up and evaluating subcontractors' quotes and estimated completion date.
Administer/update and expand preventive maintenance program with current information/ equipment list, filter list, etc. using operating software.
Assist with service calls and input work orders in our operating software.
Following up with clients to ensure their satisfaction, either verbally or in writing.
Communicate with customers to ensure they are kept informed of work status.
Maintain and update technician's certifications and communicate with those customers who request them and book training when required.
Create timesheets and verify technicians' hours and expenses for weekly payroll, submit on time for payment.
Provide company documents, WSIB, Insurance and other related certificates as requested and compile same from sub-contractors for jobs.
Complete and submit all customer health and safety policy documentation as requested.
Serve as an effective team member, and participate to ensure open communication between departments.
Ensure one's knowledge, competencies, and skill levels remain commensurate with the requirements of the position - adopt lifelong learning practices.

Responsible for other duties as assigned and/or required by business needs.
Key Performance Accountabilities
Provide customer quotes within 3 business days for quoted repairs
Followup on quoted repair proposals within 7 business days and achieve 80% approval rating
Respond to all referrals and leads within 1 business day.
Ensure all parts are ordered and arrive in time for projects, ensure all subcontractors are scheduled when needed.
Qualifications
Excellent verbal and written English communicaiton
College Diploma.
Preferable 5+ Minimum 3 years experience in HVAC Company or related organization in a similar role.
HVAC industry knowledge is an absolute requirement
Experience and proficiency with computer systems and ability to get up to speed quickly on new software.
Proficient in Microsoft Office, Excel, and Word.
