Human Resources Coordinator
Position Overview:
Reporting to the Human Resources Manager, the Human Resources Coordinator will provide payroll and benefits administration and essential administrative support to the Human Resources department, enabling the department's efficient and effective operation. The role requires a detail-oriented and well-organized professional adept at assisting in diverse human resources functions.
Key Responsibilities
Payroll:
Enter status changes and related semi-monthly data inputs.
Collaborate with Human Resources Manager and finance department to ensure accurate and timely employee payroll processing.
Assist employees with payroll inquiries and discrepancies, researching and resolving issues.
Benefits Administration:
Administration of employee benefits programs, including liaising with account representatives to resolve employee concerns.
Administration and data entry into different operational platforms, including but not limited to HRIS and Group Benefit systems.
Coordinate enrollments, changes, and training for employee benefits programs.
Recruitment Support and Onboarding:
Assist in creating job postings and posting them on various job boards.
Conduct preliminary resume reviews, schedule interviews, and communicate with candidates.
Communicate with candidates during the hiring process on the status of their application, confirming their availability and providing recruitment process instructions. Ensure candidate responsiveness, and efficient and thorough processing of all candidates in ATS.
Help maintain the ATS pipeline and keep candidates informed throughout the recruitment process.
HR Documentation:
Maintain and update employee records and human resources databases, including but not limited to the creation of new employee files, upkeeping of existing employee records, processing employee status changes, and the processing of terminated employees.
Prepare and distribute human resources documents such as confirmation of employment letters, employment contracts and other HR-related correspondence.
Ensure HR templates and documentation are up-to-date and aligned to IC governance and branding.
Ensure HR SharePoint Libraries are current, up-to-date and accurate, conducting periodic audits to ensure accuracy.
Assist in the development and maintenance of human resources policies and procedures.
Generate HR-related reports as required.
HR Administration:
Maintains the accuracy of the employee HCM system, ensuring employee data is up to date.
Completion of employee on- and off-boarding activities as needed, including verification of documents, scheduling orientations and submission and monitoring of requests to IT for employee email and system access.
Maintains annual Employee milestone database and recognition activities.
Assists with the administration of the performance management process.
Manage the human resources shared mailbox.
Maintain proficiency in human resources software and systems, leveraging technology to streamline human resources processes.
Maintain compliance with federal and local employment laws and regulations and best practices.
Support various HR initiatives and projects, such as performance feedback, assessing HR systems, and creating helpful employee resources.
Support internal communications including drafting e-campaigns, posters, announcements and other initiatives, as needed.
Skills/Qualifications:
Bachelors degree in human resources management, business administration, or a related field (or equivalent experience).
Payroll Compliance Practitioner (PCP) designation from the National Payroll Institute is considered an asset.
Proven track record in human resources administration, running payroll and administrating employee benefit programs and providing recruitment support.
Knowledge of human resources, payroll and benefits processes, policies, and best practices as well as a solid understanding of the Alberta Employment Standards legislation is required.
Experience running payroll and maintaining employee data on ADP Workforce Now is required, experience with other HRIS, Payroll and HCM systems is an asset.
Excellent communication and interpersonal skills, organizational and multi-tasking abilities.
Proficiency in Microsoft 365 and human resources software/systems; preferred experience with SharePoint.
Ability to handle confidential information with discretion and professionalism.
Self-motivated, detail-oriented, and able to work independently.
General knowledge of full cycle recruitment, including candidate sourcing, interviewing and evaluation.

Salary:
The budgeted salary range for this role is $63,000 to $70,000 per year, depending on our assessment of your experience and qualifications.
