Title: Human Resources Assistant
Reports To: Human Resources Management Team
Job Summary & Impact:
The HR Administrative Assistant's function is to provide support to the HR team who are responsible for the company's HRIS, recruitment, retention, performance management, education and training, etc. The position has a direct impact on the company's culture, finances, morale and the health and safety of the entire team. Key responsibilities include updating the HRIS, composing employee reviews, personnel filing, assisting with preparation for events/giveaways, and more. Duties and Responsibilities:
  • Review and track daily personnel reports and ensure a smooth onboarding process of new employees within their first 3 months
  • Update skills tracker daily
  • Promote education and in-house education through proactive communication directly with our team
  • Assistance with seminar organization and preparation
  • Monitoring attendance to assist payroll completion (tracking lates and absentees)
  • Assisting with orientation administration
  • Assisting with onboarding and offboarding administration
  • Set up and assisting with seasonal workshops
  • Representing the company at job fairs by engaging the public and promoting the company brand and careers in a positive outgoing manner
  • Attend and assist in coordinating company events which is a huge part of the Para Space culture and retention
  • Weekly attendance of our Monday morning leadership meeting
  • Vacation preparation and organization
  • Compile performance letters (start, 3 months, 6 months, semi-annual, annual)
  • Create 360 reviews for leadership team to ensure feedback is provided for improvement
  • You may be involved with other miscellaneous tasks/projects as required
  • Cross training on all HR related administrative duties will be required
  • Opportunities for growth within role for the right candidate
  • Deliver in person feedback and performance reviews on site and in the field as part of regular duties
  • Provide coaching and support to leaders on giving feedback, performance conversations, and development planning
  • Monitor performance data and analyze trends to identify strengths, gaps, and opportunities
  • Collaborate with the L&D and Culture teams to ensure performance ties into broader people initiatives

  • Work cooperatively to foster a harmonious working relationship with all co-workers
  • You would be responsible for completing reports and other paperwork as associated with these projects and as assigned.
  • You would be required to complete weekly task lists and schedules and would have weekly meetings with your manager
  • You would be required to report to your manager an EDR (end of day report) outlining all the tasks and hours spent for the day
  • You are encouraged to participate in ad hoc managerial committees whose purpose is to advance our company
  • You will be required to give and receive constructive feedback on a regular basis and in a professional manner

  • Valid Class 5 or 7 BC Driver's License

  • Bachelor's degree preferred
  • Previous customer service and administrative experience required
  • Proficient with MS Office software (Word, Outlook, Excel, PowerPoint) and Google Drive
  • Experience with an HRIS (BambooHR) an asset
Compensation, Work Environment & Perks:
  • Full-Time Monday to Friday 8:00am to 5:00pm (evenings and weekends as required to attend company and fulfill recruitment needs)

Please note, this position will require you to work in the field on crew periodically throughout the year to gain experience and a full understanding of what the landscaping role entails.
We would have quarterly meetings to discuss performance and advancement opportunities. We would have annual performance reviews to discuss wages. Increases would be dependent on your performance, responsibilities, and workload. This is an entry level position with opportunity to grow and advance over time on a great team!
