Description
The Human Resources and Labour Relations Assistant, reporting to the Manager, Labour & Employee Relations, delivers administrative and operational support across key HR areas, including Labour Relations, Talent Acquisition, HR Operations, and Total Rewards.
Duties:

  • Provide administrative support to the Director of HR and HR leadership across Labour Relations, Talent Acquisition, HR Operations, and Total Rewards.
  • Manage calendars, coordinate meetings, schedule travel, and process expenses for HR teams.
  • Triage and respond to inquiries for HR Leadership, including managing shared mailboxes (HR Help Desk, Labour Relations).
  • Draft routine correspondence and support internal/external communications.
  • Organize and maintain electronic and physical HR records in line with confidentiality and information?management protocols.
  • Support recruitment activities, including interview scheduling, candidate communication, and preparation of new?hire documentation.
  • Assist with onboarding and offboarding processes for HR staff, including documentation, system access coordination, and HRIS setup.
  • Provide administrative support for compensation and benefits activities, including data validation, simple audits, salary administration tasks, and maintaining tracking tools.
  • Process union leave requests and maintain accurate Labour Relations records, including grievance and arbitration tracking.
  • Coordinate arbitration processes, mediations, referrals, cancellations, witness preparation, and communication with legal counsel and arbitrators.
  • Ensure timely processing of Memorandums of Settlement and support labour?management meeting coordination, including minute taking when required.
  • Contribute to continuous improvement of administrative processes, documentation, and tracking systems.
Qualifications:
  • 2-3- year college diploma in HR, LR or Business Administration.
  • Minimum of 3 years of progressive administrative experience in a Human Resources, Labour Relations, legal, or unionized environment, supporting confidential and complex processes.
  • Familiarity with grievance and arbitration principles.
  • Strong analytical and research skills.
  • Excellent written communication skills.
  • Highly developed organizational and time-management skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive labour relations matters.
  • Strong interpersonal and collaboration skills.
  • Demonstrated attention to detail and accuracy.
  • Demonstrated ability to work independently while also contributing to team-based projects and department goals.
  • English level A- is mandatory in oral expression, oral comprehension, reading comprehension and written expression. Bilingual (French/English) is considered an asset.
