PURPOSE OF POSITION:



In this position, you will provide comprehensive day-to-day administrative support to the Human Resources department, covering all aspects of the employee life cycle. Key responsibilities include but not limited to service excellence, adherence to relevant employment legislation and organizational policies and procedures, managing the HR inbox, processing and managing HR documentation, benefit administration and supporting HR projects.



KEY RESPONSIBILITY AREAS:



HR Administration

Efficiently manage the HR inbox including triaging incoming emails related to processing resignations, recruitment, and other HR inquiries, ensuring prompt responses and proper follow-up actions. Manage all HR administrative tasks such as new hires, staff changes, resignations including data entry in human resource information systems. Providing feedback and recommendations to enhance efficiency and effectiveness Track work permit applications and renewal process for work permits, ensuring compliance with immigration regulations. Provide administrative support to the Human Resources team, assisting with various tasks and projects on an as needed basis. Assist in developing HR communications both internally and externally, ensuring clear and effective messaging. Maintain and update the HR SharePoint pages, ensuring it is a useful resource for employees and HR staff.

Recruitment & Onboarding Support

Support full-cycle recruitment process including job posting, screening candidates, reference checking, etc. as needed. Draft, review, and issue offer letters to new hires, ensuring all necessary information and terms are accurately included. Track and process all necessary documentation for new hires, including background checks, policy signoffs and ensuring compliance with company policies. Manage the new hire onboarding experience, ensuring new employees are welcomed and integrated into the company smoothly. Support career fairs and other external recruitment initiatives

Benefit Administration

Administer employee benefits programs, including enrolling new employees, updating existing plans, and resolving any issues that arise. Manage the day-to-day administration of pension and benefit enrollments, ensuring employees are properly enrolled and their benefits are accurately maintained. Coordinate the recognition of employee service milestones, including preparing and distributing awards and certificates. Administer the tuition and continuing education reimbursement programs, ensuring employees receive support for their continuing education, including actuarial studies. This involves processing applications, tracking progress, and coordinating payments. Administer scholarship programs and endowment funds, including processing applications, distributing funds, and maintaining records.

QUALIFICATION AND SKILLS:



Post secondary education in business administration, human resources or a related field. A minimum of 1 year of relevant experience. A combination of education and experience will be considered. Knowledge of employment legislation. Ability to provide service excellence with a client centric approach. A self-starter who is results-oriented and has a sense of urgency. Team-player, with a collaborative approach and a proactive attitude. Excellent organization, prioritization and time management skills Able to multi-task and pivot as needed. Demonstrates integrity and has a commitment to confidentiality. Ability to solve problems and work independently. Ability to develop effective working relationships with strong interpersonal skills. Superior written and verbal communication skills Highly proficient in computer and technical skills including Microsoft Office and Human Resource Information Systems. Experience with Ceridian's Dayforce is considered an asset. * Valid class 5 driver's license and access to a reliable vehicle.
