Duties:




System Transition & Implementation (Workday)




Manage data migration activities, including cleansing, mapping, validation, testing, and reconciliation. Collaborate with the HRIS Manager, Workday consultants, Payroll, Finance, and IT to ensure system configurations and integrations meet operational and compliance needs. Support development of project plans, documentation, issue tracking, and go-live support for Workday implementation.




Collaboration with Current HRIS (NAV/Sparkrock)




Work in close coordination with the current Manager, HRIS to support and maintain existing systems during the transition. Ensure data alignment and reporting consistency across both systems during parallel runs and post-go-live stabilization. Partner with Payroll, Finance, IT, and external vendors to resolve system issues, plan enhancements, and align technical workflows. Cross-System Collaboration During ERP Transition.

System Optimization & Reporting




Support configuration of workflows, security roles, calculated fields, and reporting tools in both current and future systems. Create and deliver dashboards and reports to support operational planning, funding proposals, and compliance audits. Perform regular audits to ensure data accuracy, privacy compliance, and system integrity. Provide technical and functional support to HR, managers, and staff.

HRIS Training and Onboarding



Design and deliver training sessions for HR staff, managers, and employees on system functionality, processes, and updates to ensure effective and consistent use of the HRIS. Develop and maintain user-friendly training materials, including guides, job aids, video tutorials, and FAQs to support onboarding and ongoing learning. Provide ongoing system training and support following implementation, ensuring users are equipped to navigate updates, new modules, and process changes effectively.

Qualifications:




Bachelor's or post-secondary degree in Human Resources, Business Administration, Information Systems, Computer Science or related field. Minimum 4 years of experience as an HRIS Manager or similar role, within an ERP systems or data management, including at least one major system transition or implementation. Strong understanding of HR and payroll processes; experience working in not-for-profit settings is preferred. Hands-on experience with NAV/Sparkrock and/or Workday strongly preferred. Hands-on experience with complex database administration. Strong technical aptitude for HR systems functionality, analytical, strong interpersonal skills. Impeccable attention to detail to help maintain our HRIS architecture, processes, security, and data integrity. Excellent project coordination skills, with proven ability to manage timelines, dependencies, and cross-team collaboration. Advanced proficiency with Excel (Pivot tables, V Lookup), Microsoft 365; report writing and data visualization experience. Strong organizational skills and attention to detail, with well-developed verbal and written communication abilities in English; the ability to speak another language is considered an asset. Demonstrated interpersonal effectiveness and a collaborative, inclusive leadership style that fosters positive working relationships across teams.
