Introduction / Purpose of the Role
The HR Systems Support Specialist will focus primarily on administering and troubleshooting our clients HRIS platforms, as well as providing day-to-day support for clients' HRIS questions. This position is ideal for a post-secondary student who enjoys technical problem-solving, has a strong interest in human resources systems, and wants to gain practical experience supporting multiple client accounts.
Key Responsibilities
System Administration & Maintenance
Serve as the first point of contact for all HR Systems related inquiries from clients and internal stakeholders.
Maintain client profiles, user permissions, pay rules, organizational structure, and custom fields.
Configure and test new features or integrations (e.g., single sign-on, time-tracking apps) under the guidance of the Director of Operations.
Perform routine audits of employee data to ensure accuracy (e.g., demographic info, direct deposit, reporting lines).
Client Support & Troubleshooting
Respond to client tickets or calls regarding login issues, incorrect payroll data, incorrect time-off balances, or workflow questions.
Document common support scenarios and create/update "how-to" guides for clients (e.g., "How to submit a change request," "How to enroll a new hire").
Escalate complex technical or policy-related HRIS questions to the Director of Operations or our implementation partner.
Onboarding & Offboarding Processes
Support streamlined workflows for new-hire setup (account creation, benefit eligibility, tax paperwork) through the HR Systems onboarding module.
Ensure offboarding checklists are followed (revoking system access, removing from benefit plans, final pay adjustments).
Maintain checklists and coordinate with clients' HR contacts to confirm required documentation is complete.
Documentation & Continuous Improvement
Keep an up-to-date internal knowledge base for frequently encountered HRIS issues, including screenshots and step-by-step instructions.
Identify process gaps or automation opportunities within the systems and recommend best practices (e.g., standardizing time-off codes, optimizing approval workflows).
Participate in periodic QA reviews with the Director of Operations to ensure system configurations match each client's policies.
Education & Experience (Preferred)
Currently enrolled in a related diploma/degree program, such as:
Nova Scotia Community College (NSCC)
Business Administration - Human Resources Management
Business Administration - Information Systems Technician
Computer Systems Technology
Information Technology and Security
Dalhousie University / Saint Mary's University
Bachelor's in Business Administration (HR concentration)
Bachelor's in Computer Science (with coursework in databases or IT management)
Prior exposure to HRIS platforms (Rippling, BambooHR, ADP Workforce Now, etc.) is an advantage but not required.
Basic understanding of Canadian payroll concepts (hours, deductions, statutory remittances) and benefits administration.

Technical Aptitude
Comfortable navigating web-based applications and learning new software quickly.
Strong attention to detail when configuring workflows, pay rules, and data fields.
Proficient with Excel (VLOOKUP, pivot tables, data validation) or Google Sheets for data analysis.
Communication & Client Service
Excellent written and verbal communication skills; able to translate technical HRIS concepts into plain language.
Strong customer-service orientation: patient, empathetic, and responsive when assisting clients.
Proven ability to document processes clearly and create user-friendly "how-to" guides.
Organizational & Time Management
Highly organized, with the ability to juggle multiple tasks (e.g., troubleshooting tickets, auditing data, running reports) under tight deadlines.
Self-starter who can work independently but escalates issues appropriately when necessary.
Able to meet recurring deadlines (e.g., biweekly payroll support, monthly reporting) with minimal supervision.
Teamwork & Collaboration
Comfortable collaborating with the Director of Operations, payroll coordinators, and external partners (e.g., HRIS implementation consultants).
Positive attitude toward feedback and continuous improvement.
Willingness to share knowledge and train other team members on basic HRIS tasks.

Accuracy & Timeliness
All HR Systems client data (employee records, payroll info, benefit enrollments) must be 100% accurate.
Respond to internal or client-submitted HRIS tickets within 24 hours (or sooner, depending on priority).
Client Satisfaction
Maintain a high client satisfaction.
Demonstrate professionalism, courtesy, and follow-through in every client interaction.
Process Improvement
Proactively identify at least two process or documentation improvements per quarter.
Ensure all new procedures are documented and shared internally within two business days of implementation.
Learning & Growth
Complete official training modules (or equivalent third-party tutorials).
Stay up to date on major HR Systems feature releases or HRIS best practices.
