Reporting to the Chief People and Culture Officer, the HR Coordinator is a key team member responsible for supporting functions of the Human Resources department for Alberta Ballet Company and Alberta Ballet School. Alberta Ballet is a complex organization, requiring HR support across several locations, multiple unions, and a variety of differentiated departmental needs (academic staff, residence staff, artistic staff, administrative staff, production).
This role provides the administrative and operational support for the HR Department. Often acting as the first point of contact for employees, this role organizes requests and manages changes as needed. This role is an ideal role for an emerging professional seeking to gain experience across diverse human resources functions, and who likes a fast paced, in person environment.

Deliverables/Responsibilities
1. Recruitment and Onboarding Support the full-cycle recruitment process, including updating and writing job descriptions, candidate screening, interviewing, reference checks, and contract preparation.
Assist hiring managers with the development of interview guides and candidate information
Conduct the onboarding process, ensuring seamless integration of new hires and returnees by maintaining and optimizing onboarding workflows, checklists, forms, and schedules.
Coordinate IT onboarding requests and manage the allocation of IT assets, ensuring all new hires are fully equipped for their roles from day one.
Complete HR Onboarding orientation meetings with new hires to walk through required documentation, certification or training requirements, and policy / employee handbook education, training on Kronos (HRIS).
Track asset allocations accordingly to any items distributed or collected.
Facilitate offboarding requirements of departing staff including collection of assets, termination of IT access and accounts, providing employee with information.
2.HR Administration & Information Management: Ensure maintenance and data integrity of all employee records in Kronos.
Ensure onboarding and offboarding are completed in a timely way in Kronos.
Maintain all entries for employee changes associated with job status, reporting structure, compensation, and contracts in Kronos on a timely basis.
Review requirements for safety credential renewals on an annual basis (police backchecks, standard first aid / CPR, WHIMIS, Respect in Sport / School, Respect in Workplace).
Assist in the updating and maintenance of policy and process documentation for HR and Safety.
Manage general inquiries received in the Human Resources inbox and direct them to the appropriate HR team member.
Assist in drafting of offer letters and employment contracts, immigration file documentation.
Monitor employee contracts report for term contract end dates on a monthly basis.
Other HR Duties as assigned.
3. Facilities Management Act as the point of contact for all facilities related inquiries.
Coordinate with Facilities management company to ensure that maintenance is being scheduled and completed in a timely way
Track and monitor ongoing list of facilities tasks

1-2 Years experience in an HR role.
Excellent attention to detail and analytical skills.
Demonstrated ability to work with confidential information and have a high level of accuracy.
Proven ability to meet deadlines.
Customer service orientated with prove ability to foster connections by putting people first and building trust.
Experience Kronos (HRIS) would be an asset.
Knowledge of Alberta Employment Standards and Human Rights legislation.
Education in business administration and / or human resources is preferred.
Experience working in a team-oriented, collaborative environment.
Responsible, dependable, and trustworthy.
Some evening and weekend work as required.
Successful candidates will be required to complete a police background check as a condition of employment.
