Job Overview
The
HR Admin/Office Manager
will be responsible for overseeing the daily operations of the office, ensuring that it runs efficiently and effectively. This role requires a highly organized individual with excellent communication and problem-solving skills. The ideal candidate will be able to manage multiple tasks and projects simultaneously while maintaining a high level of attention to detail.
Key Responsibilities
Reporting to the HR Manager, you will:
Oversee and coordinate daily office activities to ensure a well-organized and efficient work environment.
Manage office supplies, equipment, and maintenance, ensuring that the office is fully stocked and operational.
Manage the onboarding and off boarding for head office employees, continuously working to improve the processes.
Maintain all employee and contractor personnel files, ensuring data accuracy and integrity.
Prepare employment letters (employment verification, visa letters, role change letters, employment contracts) and other communications/correspondence as required.
Handle administrative tasks such as scheduling, correspondence, file management, and reception duties.
Lead all occupational health and safety initiatives by participating on the Joint Health & Occupational Safety Committee. Act as point of contact for issues surrounding WorkSafeBC for head office employees.
Support employee engagement by maintaining monthly HR newsletters, and seeking new opportunities for areas of improvement.
Process payroll for approximately 90 head office employees, ensuring timely and accurate processing of employee changes and updates (new hires, promotions, internal moves, and departures).
Oversee benefits administration as the Plan Administrator for group benefits. Conduct regular auditing to ensure accuracy of invoicing for monthly premiums.
Assist in the preparation and management of the office budget, including expense tracking and reporting.
Organize and coordinate company events, meetings, and conferences.
Implement and maintain office policies and procedures to improve efficiency and productivity.
Ensure compliance with health and safety regulations and maintain a safe working environment.
Provide general support to visitors and employees, addressing their needs and inquiries.
Requirements
Ability to efficiently manage and prioritize tasks to keep the office running smoothly.
Excellent verbal and written communication skills for interacting with staff, vendors, and clients.
Strong leadership and team management skills to oversee office staff and ensure a productive work environment.
Ability to quickly and effectively resolve issues that arise within the office.
Proficient in office software such as Microsoft Office Suite and familiarity with office management software.
Experience in managing budgets, negotiating with vendors, and tracking expenses to ensure cost-effectiveness.
High level of accuracy and attention to detail in all aspects of office management, from scheduling to maintaining records.
3-5 years of experience in Human Resources/ Office Management.
Self-motivated, flexible and adaptable to an evolving business, with strong business acumen and ability to make decisions.
Ability to handle highly confidential and sensitive matters with complete professionalism.
Experience with HRIS systems with the ability to learn new systems quickly.
Excellent interpersonal, leadership and communication skills.
Able to build a collaborative team-orientated culture.
