to help build and lead the teams who make it all possible.
Position Summary
The HR and Administrative Assistant is a key support role responsible for ensuring smooth day-to-day operations across both human resources and office administration. This position balances structured HR responsibilities--such as recruitment, onboarding, recordkeeping, and compliance--with administrative duties that support leadership, staff, and clients.
This role is ideal for someone highly organized, detail-oriented, and proactive, who enjoys building efficient systems, supporting people, and contributing to a professional and team-oriented workplace.
Main Goals and Objectives:
Support the HR department in recruitment, onboarding, and employee record management.
Maintain accurate and up-to-date HR systems, contracts, and compliance documentation.
Ensure administrative tasks, client contracts, and internal coordination are completed on time and accurately.
Provide proactive support to staff and management during seasonal peaks.
Foster a professional and organized office environment to enable smooth day-to-day operations.
Roles and Responsibilities:
Human Resources Support
Assist with full-cycle recruitment: posting jobs, screening resumes, scheduling interviews, and tracking applicants.
Prepare and maintain employee contracts and onboarding packages.
Track employee certifications, training, and health & safety compliance records.
Facilitate policy and procedure acknowledgments and maintain employee files.
Support seasonal hiring and rehiring processes.
HR Systems & Records Management
Maintain accuracy of employee information in HRIS and related systems.
Monitor contract timelines, renewals, and employee status changes.
Assist in preparing HR-related reports and compliance audits.
Administrative Support
Perform day-to-day office administration including document control, filing, data entry, and internal communications.
Assist with scheduling, meeting coordination, and event planning.
Manage office supplies and vendor coordination.
Client Contract Administration
Track client contracts and service agreements.
Ensure renewals, modifications, and compliance documents are maintained.
Event & Office Coordination
Organize safety meetings, seasonal staff gatherings, and company events.
Provide logistics and administrative support for team and company-wide functions.
Other Duties
Provide ad hoc support to the leadership team as required, particularly during peak seasonal periods.
Qualifications:
Minimum Requirements
2-4 years of experience in HR, administration, or office coordination.
Strong knowledge of HR processes: recruitment, onboarding, and records management.
Excellent organizational and communication skills with attention to detail.
Proficiency with Microsoft Office Suite and/or Google Workspace tools.
Ability to manage multiple priorities in a fast-paced, seasonal environment.
Strong interpersonal skills and ability to work with staff at all levels.
