About the Role

Under the direction of the Senior Housing Manager, the Housing and Development Coordinator will be a point of contact for residents, trades, and community members at large. You will respond diligently and expeditiously to all inquiries, concerns, or emergencies during and after regular business hours.

In addition, this role will also report to the Executive Director in our fundraising efforts to cover a one-year maternity leave position, then transfer full-time to the Housing Department. This will include fostering healthy relationships with PAL residents, the performing arts community, private and public donors, sponsors, and other stakeholders in the community.

Responsibilities

Administration (35%)

  • Document and prepare correspondence and notices for residents including but not limited to RTB forms and Breach of Tenancy notices.
  • Maintain PAL\xe2\x80\x99s waitlists and other related waitlist spreadsheets and files.
  • Maintain organized and updated resident files and records.
  • Coordinate annual rent-geared-to-income renewals.
  • Issue keys and program other electronic entry devices.
  • Review and create files for CCTV when the need occurs.
  • Coordinate parking and locker space allocations.
  • Coordinate move-in and move-outs.
  • Respond to emergencies; medical and maintenance-related issues.
  • Rent collection and CAFT updates.
  • Grant writing.
  • Carry the emergency phone for after-hour emergencies when covering for the senior housing manager.
Maintenance (35%)
  • Troubleshoot, document, and report any property-related issues that may occur.
  • Procure necessary materials or services for property maintenance and capital projects.
  • Assist in ensuring PAL Vancouver\xe2\x80\x99s properties meet or exceed the health and safety standards, arranging for repairs when needed.
  • Prioritize work orders and coordinate with external vendors.
  • Assist with unit inspections.
  • Light cleaning and other job requirements related to the health and safety of the housing sites.
Development (30%)
  • Develop and execute donor engagement strategies, including special events, fundraising campaigns, and planned giving.
  • Organize spring and fall campaigns for individuals, foundations, corporations, and members of the performing arts community. Special events; donor recognition and community engagement.
  • Identify sources of funding to broaden PAL Vancouver\xe2\x80\x99s network of influencers and its base of charitable support including prospective individuals, foundations, corporations, and government grant opportunities.
  • Track and correspond with supporters including monthly donors, annual donors, foundation representatives, and the performing arts community.
  • Write grant and sponsorship proposals to foundations, government agencies, and community associations.
  • Ensure all supporters are recognized according to PAL\xe2\x80\x99s guidelines.
  • Organize donor event logistics and coordinate donor recognition items.
  • Oversee the recording of donations in the PAL Vancouver database; bank deposits of donations, donor thank-you letters, donor thank-you calls, and charitable tax receipts.
  • Oversee monthly gift reporting and liaise with the society\xe2\x80\x99s bookkeeper.

Requirements: Qualifications
  • Post-secondary education preferred.
  • 2 years\xe2\x80\x99 experience in not-for-profit housing.
  • RTA knowledge is an asset.
  • Ability to be on call after hours when the senior housing manager is away.
  • Familiarity with poverty issues, older adults, and mental health.
  • First Aid Level 1.
Skills
  • Strong interpersonal, conflict resolution, and problem-solving skills.
  • Numeracy and accounting skills.
  • Superb oral and written communication skills.
  • High level of proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Organized, accurate, and proficient use of the fundraising database (Donor Perfect preferred), and strong data analysis skills required.
  • Proven ability to work independently and within a team environment.
Working Conditions
Works a standard 35-hour work week, but additionally will work evenings and weekends to accommodate activities such as board and committee meetings.

Must be willing to travel and be able to work at both sites (Coal Harbour and New Westminster).

Valid BC driver\xe2\x80\x99s licence (access to a vehicle preferred).
